Job Title: Programs Administrator
Reports to: Founders (Wanjiru Koinange & Angela Wachuka)
Reporting to this position: All project teams

Book Bunk has partnered with Nairobi City County’s government to deliver complete restoration of and programming for McMillan Memorial Library in the CBD and two of its branches in Kaloleni and Makadara. We are looking to hire a programs administrator who will record decisions, coordinate project activities, including simple tasks and larger plans; manage schedules, arrange assignments and communicate progress to all team members. Programs Administrator responsibilities include preparing action plans and gathering necessary resources with clear guidance from the principals and input from other team members.

Job Objective
Ultimately, this individual will ensure our projects meet quality standards and are completed on time and within budget.

The role defined briefly includes:

  1. Front Office Management:
  • Be the initial point of contact for all incoming queries
  • Track project and organizational calendars and milestones
  • Develop and deliver administrative solutions that strengthen Book Bunk’s market distinction and leadership position
  • Manage files and databases.
  1. Team Management:
  • Track deliverables from research, digital, design and management teams. Send out reminders
  • Prepare and provide documentation to internal teams and key stakeholders
  • Monitor project progress and alert management on potential issues
  • Order resources, like equipment and software. Track subscriptions
  • Act as the point of contact for all participants
  • Volunteer management.
  1.    Communications and Events:
  • Provide administration briefs/memos to internal and external teams as necessary.
  • Work collaboratively with internal and external teams to ensure administrative consistency across all channels
  • Manage the hospitality at all Book Bunk events and meetings.
  • Tracking and reporting all website metrics
  • Event Management

Requirements:

  • A love for libraries.
  • A Diploma, BA or BSc Degree in the following fields is preferred: Journalism; Social Anthropology; Languages; Media Studies; Art; Psychology; Marketing, Business or other related OR;
  • Three years experience working in the arts and culture, media, communications or other related sectors.
  • Excellent administrative skills; a keen eye for the details with a high degree of accuracy
  • Excellent communication skills: Good oral and written communication is key
  • Knowledge of research methods
  • Ability to multitask and work with limited supervision.
  • Fully computer literate (proficient in Word, Excel, Outlook Express. Social media, Google Suite, Analytics, and WordPress)
  • Tech-savvy.
