1. INTERNAL AUDITOR ( 1 POST).

Job Purpose: Responsible to the Chief Executive Officer, the Internal Auditor’s main responsibility is to add value and improve the Hospital’s operation by bringing a systematic and disciplined approach to the effectiveness of risk management and control processes.

Duties & Responsibilities.

  • Preparation of annual Audit plans for hospital activities
  • Preparation of periodic Internal Audit reports
  • Reviewing of Internal controls and making recommendations to the Director for Board approval
  • Follow up of external Auditors recommendations
  • Providing support and guidelines to management on how to handle new opportunities
  • Perform independent audits within the Hospital concentrating on high risk areas.
  • Assess the systems laid down to ensure that they are compliant with statutory regulations
  • Identify problems and recommend remedial actions and best practices
  • Issuing reports on findings of audits which highlight issues and potential impacts on business
  • Ensure timely implementation of audit recommendations and corrective actions
  • Carry out account and record reconciliations and other related records in operations and finance
  • Carry out impromptu physical cash verifications
  • Conducting regular physical stock verifications
  • Conducting any other audit assignments as directed by Management

Minimum Qualifications and Skills.

  • Minimum Business related degree preferably B.Com , Business Administration or equivalent qualification from a recognized institution
  • CPA (K) and a member of professional body
  • Sound commercial knowledge of Hospital operations and processes
  • Experience in preparing audit reports an added advantage
  • Good computer and communication skills

2. PROCUREMENT OFFICER (1 POST)

Job Purpose: Reporting to the Chief Executive Officer and working closely with the procurement committee, the officer leads in supporting and overseeing procurement and logistics services from a management perspective to ensure required supplies of commodities, facilities and service needs for the hospital activities are mobilized efficiently in a timely manner.

Duties & Responsibilities.

  • Monitoring and enforcing the hospitals procurement policies and procedures
  • Manage the entire process of planning of commodities, procurement and supply chain activities.
  • Ensure effective lines of communication to facilitate timely delivery of commodities using the most appropriate procurement procedures
  • Responsible for introducing process improvements in the supply chain and identify new vendors/suppliers.
  • Establish and implement a monitoring system that ensures the prices paid for commodities are in line with local market prices.
  • Develop and manage the rosters of suppliers, elaborate supplier selection and evaluation of quality performance measurement mechanisms.
  • Assesses, prioritizes and manages multiple activities with attention to detail, meeting tight deadlines.
  • Prepare monthly, quarterly and annual procurement plans and progress reports as required
  • Ensure transparent and competitive procurement is conducted and properly documented as required and in compliance with the hospital policy and plans.
  • Organizes and leads the bid solicitation process including drafting and issuing tenders, developing bid evaluation criteria and guiding clients on process involved.
  • Calls for and oversee selection committee to review applications and select vendors/ suppliers and ensures integrity of the competitive process, facilitates bidder debriefing where necessary and exercises appropriate judgment and tactfulness while ensuring protection of confidential information
  • Prepares service delivery contracts and service orders for all acquisition needs
  • Maintains procurement files including all relevant documentation and vendor/ supplier tracking system and maintaining all the relevant information concerning the organization suppliers.
  • Manages supplier/vendor contracts and maintains relationships with suppliers to ensure completeness of deliverables outlined in the contract ensuring that all supplier complaints and concerns are addressed promptly for continuity of services at all times

Minimum Job Requirements.

  • Minimum Diploma in Supplies Management or its equivalent qualification from a recognized institution
  • At least three (3) years’ experience in a procurement environment preferably in a Hospital setting
  • Computer efficiency skills.
  • Must be a mature practicing Christian.

3. MARKETING OFFICER (1 POST)

Job Purpose: He/ she will be responsible for marketing PCEA Chogoria Hospital’s product portfolio and developing strategic relationships with corporate clients.

Duties & Responsibilities.

  • Identify and map the target customers (corporate & non-corporate)
  • Plan and organize initiatives like camps, seminars and conferences to increase product promotion participation and doctors’ referrals.
  • Organize CMEs for promotion of the activities and services of the medical departments and specialties.
  • Organize outreach programs with prospective patient communities.
  • Assist in designing, printing brochures and marketing materials.
  • Tracking leads mediated through above CMEs, camps and seminars etc. to tap new corporate tie-ups, convert referrals etc.
  • Liaison between in-house doctors and external doctors for patients.
  • Compile credible data on competitors / Market Analysis.
  • Brand, communicate and position the Hospital as a Hospital of choice through use of branded items such as brochures, banners, flyers and advertising.
  • Execute effective Media relations and identify opportunities to participate in media through ensuring availability of required media content such photo coverage, developing media invites and develop media contents.
  • Execute a vibrant digital presence through the Hospital’s website and social media. This entails managing Face book pages, Twitter and ensuring constant posting in social media to keep it active.
  • Assist in the creation of social media policy and brand manuals that guide its usage and expected outcomes.
  • Regular marketing activities of the Hospital’s services through relevant outlets
  • Responsible for all internal communication at the Hospital.
  • Provide technical support for all communication matters, coordinate development of communication strategy and deliver communication objectives throughout the Hospital.
  • Provide in-house public relations and marketing for the Hospital
  • Ensure generation of internal newsletter/e-newsletters and other communication material to update
  • Cultivate strategic media visibility.

Minimum Qualifications

  • Minimum Diploma in Marketing, Journalism or its equivalent from a recognized institution
  • Minimum 3 years working experience in Marketing, Media or Public Relations or a similar position. Those with Hospital experience have an added advantage.
  • Membership to the Marketing Society of Kenya is an added advantage
  • Must be a team player
  • Computer literate with hands on experience on internet and MS Office applications.
  • Must be a mature practicing Christian.

4. MAINTENANCE SUPERVISOR (1 POST)

Overall Purpose: He/ she is responsible for managing and coordinating the following services: Hospital buildings maintenance and renovations, maintenance of hospital compound, water and sanitation, solid waste management, artisan works and supervision of hospital farm.   He/ she will identify areas requiring attention early enough and advice accordingly.

Responsibilities.

  • Oversee the upkeep and maintenance of all facilities under the Hospital; conduct regular inspections, identify repairs needed and prepare a detailed yearly maintenance program;
  • Implementation of facilities policies and procedures consistent with those of the organization to ensure efficient and safe operation of all the facilities.
  • Oversee activities of contractors, and all other repairs and ensure work is done on time
  • Implement and comply with the recommendations of Health and Safety regulations and Occupational, Safety and Health Audit Reports at the Hospital
  • Prepare and present reports on a timely basis for approval
  • Develop a comprehensive preventive maintenance program
  • Oversee and monitor the work of staff that are part of the facilities management team
  • Inspects sites regularly to identify the needs and plan for necessary action
  • Prepare weekly and annual maintenance schedules and allocate work as per forecasted workloads
  • Supervise and train workers
  • Coordinate maintenance activities
  • Oversee all repairs and ensure work is done on time
  • Maintain all inventory and equipment and ensure proper storage
  • Comply with all health and safety regulations and practices on site
  • Conduct preventive maintenance activities
  • Conduct safety inspections as scheduled
  • Supervise Water and sanitation and repairs involved
  • Coordination of activities of the hospital farm
  • Coordinate proper management of solid waste
  • Supervise building and renovation works for the hospital
  • Advise management on areas requiring attention.

Minimum Qualifications

  • Minimum Diploma in Electrical Engineering, Mechanical Engineering, Biomedical Engineering or Projects Management from a recognized Institution.
  • Minimum two (2) years relevant experience in a busy reputable maintenance/technical department preferably in a Hospital setting.
  • Solid understanding of technical aspects of building trades, cleaning/ plumbing procedures, carpentry, masonry and electrical systems and general maintenance procedures.
  • Good understanding of health and safety procedures.
  • Exceptional ability to prioritize and perform maintenance tasks and repairs.
  • Working knowledge of record keeping and preparing maintenance schedules.
  • Experience taking inventory of maintenance materials and replacement parts.
  • Proficiency in working with budgets and advising on maintenance and repair costs.
  • Exposure in work order system will be an added advantage
  • Must be a mature practicing Christian.
