Duties

The Program Management Assistant, under the supervision of the Deputy Director Management and Operations, provides support on a variety of technical and programmatic issues to assist the assigned branch/team effectively manage their program activities.

Job holder helps with the planning, implementing, monitoring and reporting of branch/team technical activities, and report tracking, special program meeting coordination, and various other responsibilities that support the functioning of the teams.

Incumbent is responsible for a full range of programmatic support duties to support branch activities including drafting and editing documents (including developing charts, tables and graphs), maintaining spreadsheets, attending meetings, liaising with implementing partners, developing and implementing tracking systems for program progress, and related duties.

Position manages electronic and hard copy filing systems for the programmatic branches and provides data entry support for program reports, partner information and tracking within the branch/team. Job holder provides support to the Division of Global Health Protection programs.

Qualifications and Evaluations

Requirements:

EXPERIENCE: 

Minimum of five years’ work experience in project management administrative support or program support, as well as prior experience in the collection, analyses and presentation of information is required.

JOB KNOWLEDGE:

  A thorough knowledge of Agency and applicable interagency management operations, to include financial management, and contracting (including grants, contracts and/or cooperative agreement audit and accounting requirements), travel, IT, and other administrative procedures, regulations, and requirements is required. Good knowledge of the host country and U.S. operational environment, including a good understanding of government laws and regulations pertaining to training, contracting, legal adherence, development and public health implementation is required.Education Requirements:

 Bachelor’s Degree in Business Administration, Health Management, Public Administration is required.
Evaluations:

LANGUAGE:  

Level IV (fluent) in English (speaking/reading/writing) and Level III (good working knowledge) in Kiswahili (speaking/reading/writing.) is required

SKILLS AND ABILITIES: 

The incumbent must have excellent organizational skills with attention to details. Excellent inter-personal skills in order to effectively promote CDC’s efforts and cooperation with internal and external staff and clients and to coordinate with US Embassy staff to ensure mutual cooperation are required. Must possess ability to collect, organize and analyze data and narrative reports, internal flow charts, and to present information and draft clear and concise reports. 

Must have the ability to multitask effectively, the ability to interpret and apply written administrative, operational and protocol guidelines, policies and procedures, and ability to plan and establish effective schedules for meeting CDC support requirements. Intermediate user level of word processing, spread sheets and office software, standard keyboarding, and standard ability with numerical skills is required.
