he Council of Governors (CoG) is established under Section 19 of the Intergovernmental Relations Act 2012, with the mandate to provide a platform for consultation among County Governments, share performance information on county functions, facilitate capacity building for governors, and review reports from other intergovernmental forums on national and county matters, among other functions (Section 20).

To better fulfill its mandate, the Council of Governors operates through various sectoral Committees and Departments. To support the achievement of its goals, the Council seeks to recruit an Intern to assist the HR and Administration Department.

2.0 Scope of Assignments
The intern will perform the following duties and responsibilities:

  • Assist with daily HR and administrative functions at the Council.
  • Provide clerical and administrative support in the Human Resources Unit.
  • Help in processing documentation and preparing reports related to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.).
  • Ensure easy access to HR Committee updates, reports, and bills, and ensure relevant parties receive updated information.
  • Assist in compiling Committee minutes, reports, and outcomes from meetings.
  • Support tasks related to the Human Resource, Labour, and Social Welfare Committee.
  • Convene and take minutes for Human Resource, Labour, and Social Welfare Committee meetings.
  • Provide guidance to file users on best practices in records management.
  • Handle mail receipt from within and outside the Council of Governors.
  • Sort, cross-reference, folio, and file correspondences and responses in line with the CoG indexing plan and forward them to marking officers for action.
  • Conduct weekly file tracing in action officers’ offices and maintain records.
  • Dispatch mail and maintain a tracing register in adherence to security requirements.
  • Welcome and greet visitors, staff, and the general public visiting the Council.
  • Respond to visitor and public inquiries and provide appropriate referrals.
  • Operate the telephone switchboard, answer calls, redirect inquiries, and address caller questions appropriately.
  • Perform other tasks as assigned by the supervisor.

3.0 Supervision
The intern’s assignments will be managed by the Human Resource and Administration Department, with supervision and reporting to the Head of Human Resource.

Duration of the Assignment
The internship will last six (6) months.

4.0 Required Qualifications

  • Bachelor’s Degree in Human Resource and Administration.
  • Certificate in Computer Applications.
  • Experience in conducting comprehensive research.
  • Excellent interpersonal, analytical, and communication skills.
  • Ability to meet deadlines with accuracy and attention to detail.
  • High computer literacy and proficiency in written and spoken English and Kiswahili.
  • Capability to work independently and as part of a team.
