We are seeking a highly motivated and detail-oriented Finance Manager – Budgeting & Reporting to join our team in Nairobi. Reporting directly to the Finance Coordinator, the successful candidate will ensure that budgets and reports are managed effectively, adhering to internal and donor policies, and remain up to date. Key Responsibilities
1. Budget Management
- Collaborate with operations and program staff to prepare grant budgets supporting new proposals or realignments.
- Ensure adequate coverage of country operating costs and NY direct/indirect costs.
- Manage SPC allocation processes for overarching costs in compliance with donor regulations.
- Prepare Budget vs. Actual (BVA) reports and spending plans, providing feedback on financial positions for each grant.
- Maintain and monitor the Operating Budget for the country’s programs, ensuring operations stay within budget.
- Conduct monthly timesheet reconciliations with financial reports.
- Accurately calculate and liquidate accruals at grant closures.
- Participate in grant lifecycle processes, including opening, monitoring, and closing meetings.
2. Donor Reporting
- Conduct monthly reviews of BVA reports.
- Monitor grants to avoid over or under-expenditures through diligent checks on BVA results.
- Prepare and submit donor reports promptly.
- Analyze actual budget results to identify compliance or accounting issues.
- Identify and address procedural or training gaps to improve the quality of report data.
- Review BVA results for optimal utilization of budgeted amounts and provide recommendations for realignments as required.
3. Financial Oversight and Sub-Grant Monitoring
- Collaborate with Program and Grant teams to ensure timely submission of reports and payment of sub-award advances and periodic payments.
- Reconcile sub-grant advances and reimbursements while maintaining updated sub-grant schedules.
- Conduct post-award monitoring visits to selected sub-grantees.
- Deliver training on sub-grant financial review and monitoring processes.
- Represent the Finance team in Sub-Grant working group meetings and initiatives alongside program, operations, and grants teams.
4. Staff Training and Development
- Provide training and technical support to country program, logistics, and administrative staff to improve skills in budgeting, reporting, and internal controls.
5. Other Responsibilities
- Carry out additional tasks as assigned by management to support the organization’s finance objectives.
