ADMINISTRATIVE ASSISTANT (REF: TNH/HRD/FOA/01/2025)
The Nairobi Hospital is seeking a competent and results-oriented Administrative Assistant to join the ICT division. This position involves providing administrative support to the ICT division, ensuring smooth operations and efficient service delivery while assisting the Director in managing ICT projects.
Roles and Responsibilities:
- Organize and Maintain Files: Ensure important files, reports, and documents related to ongoing ICT projects are maintained and accessible.
- Assist in Project Reports and Presentations: Prepare and compile project progress reports, presentations, and meeting agendas.
- Serve as Liaison: Act as a communication bridge between the Director and project stakeholders, including internal teams, vendors, and clients. Draft, dispatch, and follow up on internal and external correspondence.
- Confidentiality and Data Management: Handle sensitive information related to ICT projects and clients with high confidentiality. Ensure compliance with data storage regulations.
- Facilitate Meetings: Schedule and facilitate departmental/divisional meetings. Provide necessary documentation and ensure meeting rooms are set up.
- Meeting Minutes: Record meeting minutes, follow up on action points, and ensure timely implementation by staff.
- Diary Management: Manage the Director’s calendar, including scheduling, rescheduling, and related communication.
- Correspondence Handling: Attend to incoming and outgoing calls, and receive, attend to, and escalate complaints, ensuring prompt follow-up and resolution.
- Visitor Management: Ensure an optimal guest experience by screening and directing visitors to the division/department.
- File and Document Management: Track, file, and maintain departmental/divisional documents for easy retrieval.
- Transport and Office Supplies: Coordinate transport requests and requisition office supplies to ensure availability and efficient use.
- Capital Expenditure Budget: Assist in preparing and monitoring the division’s capital expenditure budget.
- Additional Responsibilities: Perform any other tasks assigned by the supervisor as necessary.
Key Competencies:
- Project Management Knowledge: Understanding of project management principles (e.g., Agile, Waterfall), tools (e.g., MS Project, JIRA, Trello), and methodologies.
- Communication Skills: Excellent verbal and written communication skills for liaising with stakeholders.
- Organizational Skills: Strong attention to detail with the ability to prioritize tasks in a fast-paced environment.
- Technical Knowledge: Familiarity with ICT systems, software development processes, and technical terminology.
- Problem-Solving Ability: Ability to address unexpected challenges effectively.
- Discretion and Confidentiality: Ability to handle sensitive information with discretion and integrity.
Knowledge and Experience Requirements:
- A University degree in Business Administration, Computer Engineering, Computer Science, or an equivalent field.
- Secretarial training is an added advantage.
- ICT Certification or any ICT-related course from a recognized institution.
- Minimum of 4 years of experience in office administration within a busy environment.
