Job Description Summary
Under the direct supervision of the Finance Manager, the Finance Officer will oversee the financial management, accounting, and reporting for donor-funded projects. The responsibilities include:
- Reviewing and verifying financial transactions.
- Managing payments.
- Posting transactions into the accounting system.
- Maintaining proper filing and record-keeping systems.
- Monitoring and controlling budgets.
- Reconciling accounts.
- Preparing financial reports for management and donors.
Key Responsibilities
- Transaction Review and Verification
- Verify and ensure complete and accurate documentation for project-related payments.
- Track project participant payments and ensure timely disbursement.
- Payments
- Initiate B2C MPESA transfers for project participants efficiently.
- Ensure prompt submission and review of expenditure reports from project staff after activity completion.
- Financial Recording and Reporting
- Post approved financial transactions into the SUNPLUS accounting system.
- Prepare monthly financial reports from the accounting system and circulate them to management.
- Prepare accurate and timely donor reports.
- Account Reconciliations
- Perform Admin/Project account reconciliations.
- Reconcile Bank and MPESA accounts.
- Update and reconcile the assets register and inventory listing with the ledger.
- Documentation and Filing
- Ensure journal vouchers and support documents are complete for filing.
- Scan and upload documents to SharePoint.
- Maintain clear and organized hard copy files for journal vouchers.
- Cash Flow Management
- Prepare cash flow projections in collaboration with technical project staff.
- Monitor project budget burn rates to optimize project performance.
- Policy and Compliance
- Ensure staff personal accounts are cleared monthly in line with policy.
- Maintain compliance with financial policies and guidelines.
- Support Project Performance
- Ensure the completeness and timeliness of transaction postings for up-to-date reporting.
- Track expenditures and verify their correctness and completeness.
