Job Opportunity: Temporary Office Administrator
The Capital Markets Authority (CMA) is a statutory agency established to regulate and develop a robust and efficient capital market in Kenya. As part of its mandate to foster growth and professionalism in the financial sector, the Authority is inviting qualified individuals to apply for the following temporary position:
Position: Temporary Office Administrator
Directorate: Corporation Secretary and Legal Affairs
Number of Positions: 1
Contract Duration: Six (6) Months Fixed Term Contract
Reporting To: Director, Corporation Secretary and Legal Affairs
Job Responsibilities:
The selected candidate will play a pivotal role in supporting the Directorate of Corporation Secretary and Legal Affairs by performing the following duties:
- Planning and Logistical Support
Provide comprehensive planning and logistical assistance for all functions within the directorate. - Administrative Duties
Handle administrative tasks, including mailing, scanning, copying, and managing other clerical activities as required. - Document Preparation and Formatting
Prepare and format documents such as correspondence, schedules, reports, drafts, memos, and emails to ensure professional and consistent communication. - Document Management
Maintain document records through referencing, filing, and updating movement registers to ensure accurate and efficient document tracking. - Meeting Coordination
Provide administrative support for directorate meetings, maintain departmental leave and work schedules, and coordinate appointments. - Office Cleanliness and Equipment Maintenance
Ensure that the directorate offices are clean and liaise with the ICT department to maintain the serviceability of office equipment. - Office Supplies Management
Requisition office supplies, allocate them as needed, and maintain proper inventory records. - Facilities and Equipment Reporting
Report on the serviceability and condition of directorate facilities, equipment, fixtures, and fittings. - Communication Management
Answer calls on behalf of the Director, respond to inquiries, and coordinate internal and external communications within the directorate. - Scheduling and Travel Coordination
Organize and coordinate meetings, appointments, and travel arrangements for the Director, ensuring timely and efficient operations. - Other Duties
Perform any additional responsibilities as assigned by the Director from time to time.
