Key Responsibilities

As a Sales Front Office Assistant, your primary responsibilities will include:

  1. Guest Management:
    • Greet and welcome visitors as they arrive at the front office.
    • Record guest details and ensure accurate documentation.
    • Direct visitors to the appropriate department, individual, or office.
  2. Phone and Email Communication:
    • Answer, screen, and forward incoming calls professionally.
    • Provide basic and accurate information in person, over the phone, or via email.
  3. Reception Area Management:
    • Ensure the reception area is tidy and well-presented, with all necessary materials and stationery.
    • Order front office supplies, maintain inventory, and ensure stock levels are adequate.
  4. Mail and Deliveries:
    • Receive, sort, and distribute daily mail and packages.
  5. Access Control and Safety Procedures:
    • Monitor visitor logbooks and issue visitor badges to maintain security.
    • Ensure adherence to safety procedures at the front office.
  6. Administrative Support:
    • Update calendars, schedule meetings, and maintain meeting room availability.
    • Keep updated records of clients and prospective buyers in Salesforce.
    • Perform clerical duties such as filing, organizing documents, and other tasks as assigned.
  7. Customer Service Excellence:
    • Provide a professional and welcoming experience for clients and visitors.
    • Handle customer inquiries with efficiency and a positive attitude.
