Job Position: Cluster Office Administrator
Location: Turkana (Cluster Office)

Reporting To: People and Culture Manager
Key Responsibilities
As the Cluster Office Administrator, you will play a critical role in supporting administration, procurement, and HR functions within BOMA’s programs and operations. Your duties will include:
Administration Responsibilities
- Ensure the safety, maintenance, and overall organization of the Cluster Office.
- Manage office supplies, stationery, and front office services.
- Allocate office sitting and working spaces to Cluster Office staff.
- Oversee the allocation of vehicles for field travel and ensure adherence to travel schedules.
- Manage logistics for program activities, including driver schedules and vehicle servicing.
- Maintain fuel logs, service schedules, and repair records for vehicles and motorbikes at the Cluster Office.
- Ensure compliance with BOMA’s vehicle parking policies.
- Oversee the safety and security of BOMA’s assets at the Cluster Office and in the field.
- Handle petty cash management, reconciliation, and replenishment.
- Assist in budgeting procedures at the Cluster Office level.
- Organize travel and accommodation for staff and visitors.
- Receive and review payment documentation for submission to the Head Office.
Procurement Responsibilities
- Oversee all procurement processes within the Cluster Office in collaboration with the Procurement and Logistics Manager.
- Maintain an updated supplier database, contracts, and contacts at the Cluster Office level.
- Assist the Head Office in prequalification of service providers.
- Identify procurement opportunities and advise the Procurement Manager to ensure value for money.
- Assist in bid analysis and evaluation for the procurement committee.
- Ensure accurate submission of procurement documentation for payments.
- Maintain well-organized records of purchase requisitions and Local Purchase Orders (LPOs).
People (HR) Responsibilities
- Process leave applications and maintain the leave register for Cluster Office staff.
- Collect and forward documentation for new hires to the People and Culture Manager.
- Support onboarding of new employees, ensuring they have work tools, email access, and other necessary resources.
- Maintain accurate and up-to-date employee records for Cluster Office staff.
- Assist in conducting exit interviews and managing employee offboarding processes.
- Support the recruitment process by contacting candidates and organizing interviews.
Qualifications & Experience
- Bachelor’s degree in International Development, Business Administration/Management, or a related field from a recognized institution.
- Minimum three (3) years of experience in an administrative role in a busy organization, preferably in Northern Kenya (Marsabit).
- Strong interpersonal, oral, and written communication skills, including proficiency in English grammar and AP style.
- Excellent planning and organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, internet, and remote conferencing applications).
