Key Responsibilities

As an Administrative Assistant, you will play a vital role in the efficient functioning of our branch office. Your key duties will include:

  • Managing office administration and handling inquiries from visitors.
  • Handling correspondence, telephone calls, and office documents.
  • Ensuring an organized and efficient office layout.
  • Planning and organizing meetings, workshops, conferences, and seminars.
  • Ensuring the security and confidentiality of branch records, documents, and equipment.
  • Preparing responses to general and routine correspondence.
  • Developing and maintaining office systems, including records management.
  • Maintaining the branch office property inventory.
  • Sorting incoming mail and directing it to appropriate staff members.
  • Supervising outsourced support staff and ensuring smooth office operations.
  • Maintaining office equipment and ensuring it is in good working condition.
  • Storing, retrieving, and disseminating information to staff and stakeholders.
  • Managing the front office, ensuring it is clean, well-organized, and presentable.
  • Receiving and dispatching hand-delivered mail to the appropriate registry.
  • Replenishing reception reading materials and promotional displays.
  • Ensuring the provision of office supplies, stationery, water, and refreshments for staff and visitors.
  • Overseeing the cleanliness of the branch office and ensuring workplace safety measures are upheld.
  • Liaising with Occupational Health and Safety representatives to maintain a safe work environment.
  • Updating leave schedules at the branch level.
  • Performing other administrative tasks as assigned by the Branch Operations Officer.
