Job Overview
As the Front Office Receptionist, you will be the first point of contact for guests, ensuring they receive a warm welcome and excellent service throughout their stay. This role plays a crucial part in creating a seamless check-in and check-out experience while managing various administrative and customer service duties. The ideal candidate should be professional, friendly, and capable of handling multiple responsibilities efficiently in a fast-paced environment.
Minimum Requirements:
- Diploma in Front Office Operations, Customer Care Management, Hospitality Management, or a related field.
- At least two years of experience in a similar role within the hospitality industry.
- Proficiency in computer operations, including hotel management software, email handling, and Microsoft Office applications.
- Strong communication and organizational skills.
- Excellent customer service skills with a proactive and problem-solving mindset.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong attention to detail and ability to multitask.
- Fluent in English and Swahili; additional language proficiency is a plus.
Key Responsibilities:
Guest Relations & Customer Service
- Warmly welcome and greet guests upon arrival, ensuring a pleasant check-in and check-out experience.
- Address guest inquiries, special requests, and complaints professionally and efficiently to maintain customer satisfaction.
- Offer concierge services such as providing information about the hotel, local attractions, transportation, and dining recommendations.
Reservation & Booking Management
- Handle room reservations via phone, email, and online booking platforms, ensuring accuracy in guest information and room availability.
- Update guest profiles and maintain detailed records of reservations, cancellations, and special requests.
Administrative & Front Desk Operations
- Maintain and update front office records, guest profiles, and billing information.
- Process payments, invoices, and receipts while ensuring accuracy in billing procedures.
- Coordinate with housekeeping, maintenance, and other hotel departments to fulfill guest needs.
- Manage daily cash float, reconcile transactions, and prepare financial reports for management.
Security & Confidentiality
- Ensure the safety and confidentiality of guest information and hotel data.
- Adhere to hotel security protocols to maintain a secure and safe environment for guests and staff.
Upselling & Hotel Promotions
- Promote hotel services, amenities, and special offers to enhance guest experience and maximize revenue.
- Assist in marketing efforts by encouraging guests to participate in hotel loyalty programs and providing information on upcoming promotions.
Communication & Coordination
- Serve as the main point of contact for guests and relay necessary information to relevant departments.
- Maintain effective communication with hotel staff to ensure smooth operations.
- Handle telephone inquiries and emails, responding to requests professionally and promptly.
Problem-Solving & Conflict Resolution
- Address and resolve guest complaints effectively while maintaining a high level of professionalism.
- Work proactively to prevent potential guest issues and ensure a seamless hotel experience.
- Document and report any operational issues to the management for prompt resolution.
