Job Description
The Senior Administrative Assistant will provide high-level, proactive, and confidential support to the Deputy Vice-Chancellor Academic and Students Affairs (DVC-ASA). This role involves handling diverse responsibilities such as diary management, correspondence, document preparation, event coordination, and general office administration.
Key Responsibilities
Secretarial and Administrative Support
- Serve as the primary administrative support for the DVC-ASA, ensuring smooth office operations.
- Manage schedules, travel arrangements, telephone inquiries, correspondence, filing systems, and record-keeping.
- Oversee version control of policies, documents, and contact lists.
- Examine incoming correspondence, coordinate responses, and anticipate necessary actions.
- Ensure the DVC-ASA is adequately briefed for meetings, engagements, and external interactions.
- Act as secretary to the DVC-ASA committee meetings, preparing agendas, minutes, and follow-ups.
- Utilize AmIU’s information management systems to generate reports on finance, student records, and other key areas.
- Collate and analyze data, conducting internal and sector-wide research to support informed decision-making by the DVC-ASA.
Customer Service, Teamwork, and Collaboration
- Serve as the first point of contact for the DVC-ASA’s office, managing external and internal communications effectively.
- Represent the DVC-ASA’s office in interactions with stakeholders at local, national, and international levels.
- Ensure smooth internal communication and information flow within the university.
- Collaborate with other AmIU offices in organizing VIP visits, special lectures, graduation events, and liaising with marketing and communication teams as required.
- Arrange and oversee hospitality services for visitors.
Planning and Organization
- Ensure the DVC-ASA’s office functions efficiently by managing day-to-day activities and meeting critical deadlines.
- Prepare for external meetings, liaising with key stakeholders and collaborative partners.
- Draft, edit, and proofread correspondence, reports, and presentations for the DVC-ASA.
- Respond promptly to inquiries and requests, ensuring professional and timely communication.
- Manage incoming and outgoing correspondence, maintaining follow-ups for timely resolutions.
- Prepare and format documents, reports, and presentations using Microsoft Office Suite and other relevant software.
- Handle all travel arrangements, including booking flights, accommodations, and processing visas.
- Provide additional administrative support to other staff members as required and manage the DVC-ASA’s research portfolio.
- Maintain the confidentiality of sensitive and official information at all times.
