Executive Administrator (2500000Y)

Job Purpose

The Executive Administrator will serve as a central point of contact, linking Board Directors, Executive Directors, managers, internal departments, and external stakeholders, including vendors and customers. The role involves handling clerical and administrative duties, streamlining office processes, and ensuring smooth office operations.

Key Responsibilities

  • Serve as the first point of contact for the Director of Legal & Company Secretary, efficiently managing correspondence, phone calls, and in-person inquiries.
  • Provide top-tier administrative support while ensuring strict confidentiality and trust when interfacing with Board Directors.
  • Act as a communication bridge between the Legal Director’s office and internal departments, fostering credibility and collaboration with senior management staff.
  • Maintain seamless and professional communication channels between the Director’s office, Board members, internal teams, and external stakeholders.
  • Oversee sophisticated calendar management for the Legal Director, prioritizing inquiries and troubleshooting scheduling conflicts.
  • Organize and coordinate logistics for both internal and external meetings of the Director.
  • Develop and maintain paper and electronic filing systems for the Director’s office.
  • Process expense claims, credit card returns, and raise purchase requisitions while handling finance-related duties as required.
  • Oversee the efficient handling of incoming and outgoing mail for the Director’s office.
  • Draft and manage routine correspondence on behalf of the Director.
  • Arrange and coordinate travel itineraries, bookings, hotel reservations, transfers, and other logistics for both the Legal Director and Board Directors.
  • Attend management meetings, take minutes, summarize discussions, and ensure timely distribution while tracking action points.
  • Provide administrative support for company-wide events and projects managed by the Segment/Function.
  • Build and maintain strong relationships with customers, employees, and senior executives by ensuring continued engagement and seamless communication.
  • Document and communicate necessary actions to management to maintain continuity in work operations.
  • Ensure the timely preparation and distribution of reports by collaborating with relevant teams.
  • Gather and consolidate emerging issues from various stakeholders for the Segment/Function.
  • Offer administrative support to the Legal & Governance teams.

Knowledge, Experience, and Qualifications Required

  • University degree in any discipline.
  • Minimum of 7 years’ experience as a Personal Assistant to a Head of Department/Division in a blue-chip company, preferably within a commercial environment.
  • A degree or diploma in Law and/or qualification as a Certified Secretary is an added advantage.
