Position Overview:
As a Human Resource Officer, you will play a crucial role in coordinating the overall administration of the HR department. Your primary responsibility will be to create a conducive working environment, manage data and leave records, and ensure the general cleanliness of the office. This role requires a detail-oriented individual who is proactive and capable of handling multiple tasks efficiently.
Main Responsibilities:
- Data Management and Reporting:
- Manage data entry and profiling, including maintaining accurate employment records, tracking status changes (appointments, probation, promotions, transfers, separations, confirmations, end of contracts, and staffing changes).
- Prepare related reports to ensure accurate and up-to-date HR information.
- Payroll Management:
- Prepare the monthly payroll and ensure all statutory deduction reports are forwarded to the finance department for payment by the 5th of every month.
- Leave Management:
- Administer all types of leave (study, annual, paternity, compassionate) for the entire institution, including branches.
- Coordinate leave schedules and maintain accurate leave records.
- Administrative Support:
- Provide general clerical and administrative support to the HR division, including drafting letters, memoranda, and reports related to human resource programs.
- Perform general office support duties such as making copies, maintaining calendars, sorting and distributing mail, and ordering office supplies.
- Records and Documentation:
- Ensure all staff have up-to-date job descriptions and that their files are properly maintained in safe custody.
- Performance and Training Coordination:
- Assist in analyzing staff needs and performance reports, including appraisals, training needs assessments, and performance improvement plans.
- Medical Coordination:
- Coordinate with medical providers to ensure employees are covered and receive their medical cards.
- Policy Development and Enforcement:
- Assist in developing, communicating, and enforcing the Institute’s policies, procedures, and code of ethics to ensure ethical practices among staff and stakeholders.
Key Performance Indicators:
- Accuracy of HR records.
- Effective administration of the HR registry/database (HRIS).
- Compliance with HR policies.
- Conducting skills audits.
- Efficient payroll management.
- Proper records management.
Key Skills and Competencies:
- Knowledge of Enterprise Resource Planning (ERP).
- Strong computer literacy and proficiency in HR software.
- Excellent organizational and communication skills.
- High level of accuracy and attention to detail.
- Ability to handle confidential information with discretion.
Knowledge and Experience Required:
- Bachelor’s degree in Human Resource from a recognized university.
- At least two (2) years of relevant experience in a similar role.
- Membership in the Institute of Human Resource Management (IHRM).
