Position Overview: Dean of Students (DoS)

Reporting to: Deputy Vice Chancellor – Student Life (DVC-SL)
Location: Nairobi, Kenya

The Dean of Students is a pivotal leadership role responsible for overseeing a broad spectrum of student-related programs that focus on leadership development, student welfare, and overall campus life. The successful candidate will be charged with the dual mandate of promoting a conducive learning environment and enhancing student experiences through innovative co-curricular initiatives. This role demands a professional with a strong sense of responsibility, strategic foresight, and the ability to foster a collaborative atmosphere among students, staff, and academic leadership.


Key Responsibilities and Duties

1. Leadership and Strategic Management

  • Office Leadership: Provide robust leadership within the Dean of Students Office, ensuring that all initiatives align with USIU-Africa’s vision, mission, and core values.
  • Departmental Goals: Develop and implement strategic goals, policies, budgets, and working procedures in accordance with the university’s strategic plan.
  • Program Development: Innovate and oversee student development initiatives, ensuring that programs remain relevant and effective in addressing emerging student needs.

2. Student Disciplinary Process

  • Disciplinary Oversight: Preside over non-academic disciplinary hearings, enforcing guidelines in strict adherence to the student handbook and university policies.
  • Trend Analysis: Track, document, and analyze disciplinary cases to identify recurring issues, and recommend policy improvements based on these insights.
  • Fair Process: Ensure that disciplinary actions are executed fairly and consistently, contributing to a culture of accountability and respect on campus.

3. Student Governance and Advisory Services

  • Election Supervision: Oversee the conduct of student elections across various bodies including the Students’ Association Council (SAC), Student Parliament Advisory Council (SPAC), clubs, and sports teams.
  • Leadership Programs: Organize and support student leadership development programs designed to enhance governance skills and promote active participation in university life.
  • Advisory Support: Provide expert guidance and advice to student leaders and governing bodies, ensuring adherence to respective constitutions and university policies.

4. Student and University-wide Projects

  • Project Coordination: Collaborate closely with various university departments to manage and support key student projects, including SAC initiatives and other co-curricular activities.
  • Yearbook and Events: Oversee the production of the university yearbook and coordinate events that reflect the vibrant life and achievements of the student community.

5. Orientation Programs

  • Freshman Orientation: Design and execute comprehensive orientation programs for new students, including tailored sessions for international students to facilitate smooth transitions into campus life.
  • Integration Initiatives: Ensure that orientation programs are informative and welcoming, setting a positive tone for the academic journey ahead.

6. International Student Services

  • Study Abroad and Exchange Programs: Manage and enhance programs for study abroad, international exchanges, and integration services, ensuring that international students receive the necessary support for academic and personal success.
  • Service Provision: Work to provide basic services that cater to the diverse needs of international students, creating an inclusive environment where all students feel at home.

7. Student Welfare

  • Welfare Coordination: Oversee the welfare initiatives for both local and international students, ensuring that the campus environment supports healthy cultural exchange, learning, and personal development.
  • Holistic Support: Address student welfare issues promptly and effectively, ensuring that all students have access to resources that promote their physical, emotional, and social well-being.

8. Policy Review and Implementation

  • Handbook and Policy Updates: Coordinate regular reviews of the student handbook, policies, and procedural manuals. Ensure that all directives are communicated clearly and adhered to by the student body.
  • Policy Enforcement: Implement and monitor compliance with policy directives, making necessary adjustments to support a safe and productive learning environment.

9. Evaluation and Reporting

  • Departmental Evaluations: Conduct regular evaluations of the Dean of Students Office’s performance, preparing detailed annual reports on student programs and departmental efficiency.
  • Improvement Proposals: Identify areas for improvement and develop proposals for new student development initiatives to be presented to university leadership through the DVC-SL.

10. External Collaboration and Networking

  • Inter-University Partnerships: Develop and maintain collaborative relationships with other universities and educational organizations, fostering networks that enhance the quality of student programs at USIU-Africa.
  • Stakeholder Engagement: Work with community partners, alumni, and other stakeholders to bring additional resources and expertise to student-centered projects and initiatives.

Educational and Professional Qualifications and Experience

Applicants must possess at least a Master’s Degree in Social Sciences, with a preference for those with expertise in education administration or counseling. Possessing a relevant PhD/Doctoral degree from a recognized university is considered an added advantage. The ideal candidate will also have a minimum of three (3) years’ experience serving as a principal officer in a similar capacity, demonstrating proficiency in managing student-related affairs at a higher education institution.

In addition, candidates should be well-versed in:

  • Computer Applications: Demonstrated experience with financial and data management software, ensuring smooth operations within the department.
  • Higher Education Policies: A robust understanding of university policies, budget processes, and policy implementation in complex institutional systems.
  • Consensus Building: A proven ability to foster consensus and navigate complex situations effectively.
