As part of our commitment to maintaining exceptional standards and ensuring the continuity of supplies, we are seeking a dynamic and qualified Purchase Officer, PSCMD Procurement to join our team in Nairobi, Kenya. This role is instrumental in managing non-medical (FDBR/GSTR) procurement activities and coordinating warehouse operations to achieve departmental and institutional goals.

The successful candidate will report directly to the Assistant Manager, Purchasing and Supply Chain Management Division.


Job Purpose

The Purchase Officer will play a crucial role in ensuring the continuity of supplies by closely monitoring stock movement and levels, as well as planning staff work schedules efficiently. This role involves sourcing, selecting, and negotiating the best prices for stock and non-stock items while maintaining high-quality standards and regulatory compliance.

The position is vital for coordinating the procurement activities within the warehouse and ensuring a seamless flow of supplies across various departments to support the overall mission of AKUH,N in delivering high-quality healthcare services.


Key Responsibilities

1. Financial Management

  • Source, select, and negotiate for the best discounts on trade prices for all stock and non-stock items.
  • Ensure products meet the highest quality standards in line with regulatory requirements.
  • Manage procurement budgets effectively to optimize cost savings without compromising on quality.

2. Administration

  • Assist in managing and following up on local, regional, and import procurement, ensuring timely resolution of delays or stock shortages.
  • Facilitate productive communication between staff and vendors to maintain positive working relationships.
  • Source and evaluate new suppliers with high-quality products at competitive prices.
  • Conduct vendor interviews and site visits to learn about products, pricing, and distribution logistics.
  • Coordinate delivery schedules with suppliers to ensure timely supply of products.

3. Quality Control

  • Evaluate suppliers based on price, quality, and delivery timelines to maintain high procurement standards.
  • Monitor and review contracts to ensure compliance with terms and conditions and recommend necessary changes.
  • Stay updated on industry trends and advancements by attending meetings, CME’s, and conferences.

4. Coordination

  • Identify high-value and fast-moving product lines, negotiate fixed prices, and maintain cost efficiency.
  • Coordinate with suppliers to ensure on-time delivery and manage supply chain logistics effectively.
  • Oversee the delivery of items between suppliers to ensure timely distribution across warehouses and stores.
  • Collaborate with the JCIA team to ensure procurement activities comply with JCIA requirements.

5. Reporting

  • Maintain and update purchasing records, data, and pricing information in the system accurately.
  • Review and maintain records of existing contracts to ensure ongoing compliance and performance.
  • Monitor the seamless flow of invoices to the documentation team for efficient financial processing.
  • Conduct regular checks on team adherence to institutional policies and procedures.

Qualifications, Experience, and Skills Required

  • Educational Qualification: Bachelor’s Degree in Supply Chain Management or related field.
  • Experience: Minimum of 3 years’ work experience in supply chain management, preferably in a healthcare setting.
  • Technical Skills: Basic knowledge of Inventory Control systems and proficiency in MS Office Suite (MS Excel, MS Word, MS PowerPoint).
  • Communication Skills: Excellent interpersonal and communication abilities.
  • Analytical Skills: Strong attention to detail and the ability to analyze data for decision-making.
  • Organizational Skills: Excellent organizational and administrative abilities to manage multiple tasks efficiently.
  • Leadership Skills: Proven leadership and team management skills.
  • Interpersonal Skills: Ability to work both independently and within a team, demonstrating a collaborative approach.
