We are seeking a qualified and experienced Administrative Assistant to join our dynamic team in Nairobi, Kenya.
Job Responsibilities
As an Administrative Assistant, you will provide essential administrative and operational support to ensure the smooth running of the department. Your key responsibilities will include:
- General Administration: Provide comprehensive administrative support, including document preparation, record-keeping, and correspondence handling.
- Human Resource Support: Assist in personnel administration, recruitment processes, onboarding, and training coordination.
- Procurement and Logistics: Manage procurement procedures, maintain vendor relationships, and support contract management.
- Data Management & Reporting: Maintain accurate records, prepare reports, and provide data analytics support.
- Application of HR Systems: Utilize Human Resource Management Systems such as PeopleSoft or Enterprise Resource Planning (ERP) systems for processing personnel actions and tracking records.
- Staff Support: Provide guidance on human resources rules and regulations to ensure compliance within the organization.
- Regulatory Compliance: Ensure adherence to UN policies, procedures, and guidelines.
Required Work Experience
- Minimum of seven (7) years of experience in administrative services, human resources management, or a related field.
- If you possess a first-level university degree or higher, the required experience is reduced to five (5) years.
- Experience in administration, personnel administration, and procurement is required.
- Hands-on experience with Human Resource Management Systems (HRMS), such as PeopleSoft or ERP systems, is required.
- Previous experience providing guidance on HR rules and regulations is desirable.
- Work experience within the United Nations regulatory framework or other international organizations is desirable.
- A minimum of one (1) year of experience in data analytics or a related area is desirable.
Education Requirements
- A high school diploma or equivalent is required.
- Additional training in administration, human resources management, or a related field is desirable.

- Professionalism: Strong knowledge of administrative policies, procedures, and human resource management principles.
- Planning and Organizing: Ability to manage multiple tasks effectively and meet deadlines.
- Communication: Strong verbal and written communication skills, with attention to detail.
- Technological Proficiency: Experience with HRMS, data management, and reporting tools.
- Teamwork: Ability to work collaboratively in a multicultural environment.
Language Requirements
- Proficiency in English is required.
- Knowledge of another UN official language is an asset.
