Job Purpose
The Office Steward will be responsible for ensuring the highest standards of cleanliness, hygiene, and refreshment services within the IEK offices. The role requires attention to detail, time management, a hospitable demeanor, and the ability to work independently with minimal supervision. The successful candidate will play a key role in creating a clean, organized, and welcoming work environment for all IEK staff and visitors.
Key Responsibilities
The Office Steward will perform duties in three major areas: Cleaning, Tea & Refreshment Preparation, and Stock & Supplies Management.
A. Cleaning Duties
Maintaining a clean, orderly, and hygienic environment within the premises is essential to our office operations. The responsibilities include:
- Daily sweeping, mopping, vacuuming, and dusting of office spaces, corridors, and common areas to maintain a tidy appearance and ensure safety.
- Thorough cleaning and disinfection of restrooms, ensuring toilets, sinks, and floors are sanitized and stocked with supplies (toilet paper, soap, hand towels, etc.).
- Sanitizing and organizing the kitchen and dining areas, maintaining a hygienic environment for food preparation and consumption.
- Emptying waste bins in all departments and disposing of waste appropriately in designated areas in line with health and environmental standards.
- Cleaning and maintaining office furniture, workstations, and surfaces, ensuring they are free from dust and debris.
- Periodic deep cleaning of the premises including windows, blinds, and walls as instructed by the supervisor.
B. Tea & Refreshment Preparation
The Office Steward will also be entrusted with providing refreshment services to IEK staff and guests. Responsibilities include:
- Preparing and serving tea, coffee, and other beverages to staff as per the schedule or upon request.
- Ensuring the timely availability of refreshments, especially during office hours, meetings, or when guests are present.
- Serving snacks and beverages during internal meetings, board sessions, or organized office events, ensuring hospitality standards are met.
- Maintaining cleanliness and hygiene in the kitchen, including proper washing and arrangement of utensils, cups, flasks, and other items.
- Ensuring equipment such as kettles, water dispensers, and microwaves are clean and in working condition.
- Practicing food safety and hygiene standards when handling and serving beverages and snacks.
C. Stock & Supplies Management
The Office Steward will support the administration by managing kitchen and cleaning inventories. Duties include:
- Monitoring and restocking consumables such as tea leaves, sugar, coffee, milk, handwash, disinfectants, paper towels, etc.
- Keeping an updated inventory of cleaning and kitchen supplies and ensuring that nothing essential runs out unexpectedly.
- Reporting any shortages or damaged equipment to the Human Resource and Administration Officer for timely procurement or maintenance.
- Ensuring proper storage of supplies to avoid spoilage, contamination, or misuse.
- Handling supplies responsibly and preventing waste through careful usage of consumables.
- Assisting with occasional errands related to the kitchen or cleaning supplies within or outside the premises, as may be instructed.
Required Qualifications
To be considered for this position, applicants must meet the following minimum qualifications:
- Minimum academic qualification: Kenya Certificate of Secondary Education (KCSE) or equivalent.
- Work Experience: At least one (1) year of experience in a similar role, preferably in a formal or professional office setting such as a corporate office, institution, or NGO.
- Proof of training in hospitality, cleaning, or food safety will be an added advantage (though not mandatory).
Required Skills and Experience
To perform effectively in this role, the successful candidate must possess the following skills and personal attributes:
- Prior hands-on experience in general office cleaning and tea/coffee preparation.
- Ability to work efficiently, follow schedules, and deliver services promptly without the need for close supervision.
- Excellent hygiene standards and knowledge of cleaning procedures and chemical use.
- Good communication skills, particularly in English and Kiswahili, to interact politely and professionally with colleagues and guests.
- Demonstrated hospitality and customer service skills, ensuring visitors feel welcomed and comfortable.
- Physical stamina and fitness, as the role involves prolonged standing, lifting, moving supplies, and routine cleaning.
- Ability to work independently as well as part of a team, while demonstrating a positive and cooperative attitude.
- Reliability and time-consciousness, ensuring punctuality in executing responsibilities.
- Honesty, integrity, and discretion, particularly when handling food and beverages.
- Flexibility to take on additional responsibilities when needed, including during events or high-traffic office periods.
