The Institution of Engineers of Kenya (IEK) is the premier professional body representing the interests of engineers in Kenya. Established on 19th January 1945, initially as the East African Association of Engineers, IEK has since evolved into a national institution committed to advancing the science and practice of engineering. The transformation into the current Institution of Engineers of Kenya took place in November 1972 following a strategic decision to serve the needs of Kenyan engineers more directly.
IEK’s mandate revolves around the promotion of engineering excellence through the development, application, and exchange of scientific and technical knowledge. The Institution collaborates with both national and international organizations to ensure that engineering continues to serve humanity in a progressive and sustainable manner. Today, IEK boasts a growing membership of 3,335 individuals, categorized as follows: 73 Fellows, 1,397 Members, 88 Associates, 1,393 Graduates, and 383 Students. Position Title: Office Steward
Location: Nairobi

Job Purpose
The Office Steward is responsible for ensuring a clean, organized, and hospitable working environment at the IEK offices. This role involves the execution of cleaning duties, preparation and service of refreshments, and overall support for day-to-day office hospitality requirements. The Office Steward will contribute to the Institution’s operational efficiency and maintain the image of the organization by upholding high standards of hygiene and etiquette.
Key Responsibilities
- Office Cleanliness and Sanitation
- Maintain cleanliness of all offices, boardrooms, kitchen, washrooms, and common areas.
- Ensure all office surfaces, floors, and windows are dusted, swept, and mopped on a regular basis.
- Monitor and refill hygiene supplies such as hand wash, tissues, and toilet paper.
- Disinfect common touchpoints like doorknobs, switchboards, and handrails to maintain a germ-free environment.
- Tea and Refreshment Services
- Prepare and serve tea, coffee, water, and snacks to staff and visitors as required.
- Ensure cleanliness and organization of kitchenware and equipment.
- Maintain an inventory of kitchen and refreshment supplies and notify the administration for restocking.
- Uphold hygiene standards in food and beverage preparation.
- Support During Meetings and Events
- Assist with setting up refreshments during internal meetings, board sessions, and special events.
- Ensure cleanliness of meeting rooms before and after use.
- Serve guests with courtesy and professionalism, reinforcing the Institution’s values of hospitality.
- Supply Management and Inventory
- Keep track of cleaning materials and kitchen supplies, ensuring stock levels are adequate.
- Report any shortages, damages, or malfunctions to the administration promptly.
- Take part in receiving supplies and maintaining orderly storage.
- Office Support Duties
- Run minor office errands within or near the premises.
- Help with rearrangement of furniture or equipment for meetings or repairs.
- Provide support to staff on ad hoc tasks where required.
- Health and Safety
- Follow safety procedures while handling cleaning chemicals and equipment.
- Ensure emergency exits and pathways remain unobstructed at all times.
- Report any health or safety hazards immediately to the administrative team.
Qualifications and Experience
To be considered for the position of Office Steward at IEK, candidates must meet the following minimum qualifications and experience requirements:
- Academic Qualifications
- A valid High School Certificate (KCSE or equivalent) is required.
- Work Experience
- A minimum of one (1) year of professional experience in a similar position, preferably in an office or institutional setting.
- Professional Skills
- Demonstrated ability to communicate clearly and politely with staff and visitors.
- Strong hospitality skills, with a focus on courteous service delivery.
- Basic knowledge of cleaning agents and sanitation procedures.
- Ability to follow established schedules and routines effectively.
- Physical fitness and stamina to perform tasks such as lifting, bending, and standing for extended periods.

- Dependable and punctual with a keen sense of responsibility.
- Team player who can also work independently with minimal supervision.
- Trustworthy and able to handle sensitive information with discretion.

Working Environment
The Office Steward will be based at the IEK headquarters in Nairobi. The role involves interacting with staff across all departments, as well as occasional engagement with external guests.
