Key Primary Responsibilities

  • Oversee Pension Scheme Administration: Lead the full spectrum of pension administration activities, including new member registration, processing of monthly contributions, updating member records, and disbursement of benefits.
  • Ensure Regulatory Compliance: Maintain adherence to all relevant retirement benefits regulations, industry standards, and company policies. Ensure schemes are administered within the Retirement Benefits Authority (RBA) and Insurance Regulatory Authority (IRA) frameworks.
  • Record Management: Guarantee accurate and up-to-date documentation of all pension schemes, including transaction histories, contribution records, and benefit payments. Implement best practices in data management to ensure integrity and retrievability.
  • Staff Supervision and Mentorship: Provide technical and operational guidance to junior officers within the pension department. Conduct training sessions and foster an environment of learning and performance excellence.
  • Report Preparation: Assist in the compilation and submission of monthly, quarterly, and annual reports for internal management use and regulatory bodies. Ensure timeliness and accuracy in all submissions.
  • Customer Issue Resolution: Handle inquiries from pension scheme members and stakeholders promptly and professionally. Take the lead in resolving complaints, disputes, or delayed payments.
  • Interdepartmental Coordination: Work closely with finance, actuarial, IT, and customer service departments to enhance the overall delivery of pension services.
  • Audit Participation: Support both internal and external audits by availing documentation, addressing queries, and implementing audit recommendations for operational improvements.
  • Industry Knowledge and Adaptation: Stay abreast of emerging trends, policy shifts, and innovations within the pensions sector. Recommend and implement improvements aligned with global best practices.

Generic Duties

  • CSR Participation: Actively participate in company-wide Corporate Social Responsibility initiatives, representing the department in alignment with APA Life’s brand and values.
  • SLA Implementation: Collaborate with departmental heads to implement and uphold service-level agreements (SLAs), ensuring efficient service delivery across units.

Job Skills and Requirements

  • In-depth knowledge of Kenya’s retirement benefits and pension administration laws, especially those enforced by the Retirement Benefits Authority (RBA).
  • Proven ability to manage system updates and lead change management initiatives related to pension processing systems.
  • Strong analytical and organizational skills; capable of handling large volumes of data with precision.
  • Excellent written and verbal communication skills; able to convey technical pension matters to both internal teams and external clients.
  • Proficiency in the use of Microsoft Office Suite and pension administration software.
  • Keen attention to detail, with a consistent record of accuracy in document preparation and data management.
  • Strong interpersonal skills; able to lead a team while collaborating effectively with external stakeholders.
  • Demonstrated problem-solving skills and ability to manage complex, multi-stakeholder situations.

Academic Qualifications

  • Bachelor’s degree in Finance, Business Administration, or any related field from a recognized institution.

Professional Qualifications

  • Possession of industry-recognized professional certifications in pension administration or insurance such as FSRI (Fellow, Secure Retirement Institute) or CPAM (Certified Pension Administrator Member) is a distinct advantage.

Experience

  • A minimum of 10 years of progressive experience in pension administration, with at least 5 years in a supervisory or managerial capacity.
