The University seeks to recruit a highly motivated and dynamic individual to take on the role of Project Administrator under the UNESCO Chair for Climate Change Resilience and Sustainability. The successful candidate will be integral to the advancement of the Chair’s mission, working closely with researchers, funding agencies, and institutional partners to ensure seamless project execution and compliance. The role requires robust organizational capabilities, sound financial and administrative judgment, and a passion for climate resilience and sustainability.


Job Title: Project Administrator

Department: Strathmore Energy Research Centre
Reporting to: Head of Department – UNESCO Chair for Climate Change Resilience and Sustainability


Basic Job Summary

The Project Administrator will play a pivotal role in ensuring the effective execution of various initiatives under the UNESCO Chair for Climate Change Resilience and Sustainability. The position focuses on streamlining operations, providing administrative support, coordinating stakeholder engagements, and enhancing project efficiency and impact. The ideal candidate will demonstrate strong administrative and financial skills, the ability to manage complex logistics, and an aptitude for clear and consistent communication.


Key Duties and Responsibilities

1. Administrative Support

Office Management

  • Schedule and coordinate meetings, including preparing agendas and recording minutes.
  • Manage departmental correspondence, postage, and courier services.
  • Oversee office supplies inventory and coordinate timely procurement.

Travel and Logistics Coordination

  • Arrange travel bookings, including flight reservations, accommodation, and ground transport.
  • Ensure adherence to institutional travel policies and approved budgets.

Event Planning and Coordination

  • Plan and execute events such as workshops, conferences, and stakeholder forums.
  • Coordinate logistics including venue bookings, material sourcing, and technical support.
  • Serve as the department’s liaison with the Communications and University Relations Office to maintain alignment with institutional communication goals.

2. Communications and Stakeholder Engagement

Liaison Duties

  • Act as the Communications Liaison for the UNESCO Chair.
  • Attend and contribute to monthly Communications Committee meetings.
  • Provide frequent updates on project activities, research outputs, and events.

Digital Presence and Content Management

  • Collaborate with team members to manage content for the UNESCO Chair’s website and social media pages.
  • Monitor website functionality, make updates, and lead redesign initiatives when needed.
  • Ensure communication materials meet institutional branding and policy standards.

Minimum Academic Qualifications

  • A Bachelor’s degree in business, management, administration, or communications-related field.

Experience Requirements

  • A minimum of 3 years’ experience in project administration, preferably within a research, academic, or climate change-related setting.
  • Strong organizational and multitasking skills with acute attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and use of project management tools.
  • Excellent interpersonal and communication skills suitable for a collaborative, multicultural work environment.
  • Knowledge of financial and grant management principles will be an added advantage.
