Main Purpose of the Job
The Quality Officer provides technical and administrative support to the Quality Department, playing a key role in enhancing operational efficiency and ensuring compliance with both internal and regulatory quality standards. Reporting directly to the Head of Quality – AOC/Compliance, and indirectly to the Head of Quality – AMO, the Quality Officer is a vital link between the Quality Department and various units such as Operations, Maintenance, and Medical.
Job Description
Key Responsibilities
- Manage quality and compliance records and documentation in line with Kenya Civil Aviation Regulations (KCARs) and AMREF Flying Doctors’ internal quality standards.
- Distribute updated company manuals and amendments, ensuring consistent accuracy across all departments.
- Maintain a current Master List of all controlled documents and monitor manual libraries to confirm all documents and subscriptions are current.
- Assist in updating and managing quality-related records and documentation to meet compliance requirements.
- Contribute to the implementation of the organization’s Document Management System (DMS).
- Support the implementation of the AOC and AMO quality audit programs to ensure full compliance with regulatory and internal standards.
- Facilitate audits and reviews of company procedures, documents, and practices to identify and correct weaknesses or compliance risks.
- Manage and assess corrective action plans issued in response to audit findings and regulatory violations.
- Sensitize staff on quality processes, recent regulations, and internal protocols.
- Collect, compile, and present quality assurance/control data to the Head of Quality.
- Assist in organizing and conducting Quality Management Review Meetings and other quality-related forums.
- Foster a culture of continuous improvement and quality awareness within the organization.
- Ensure all aviation-related procedures incorporate civil aviation requirements as stipulated by regulatory bodies.
- Assist in following up on Kenya Civil Aviation Authority (KCAA) approval requests and ensure timely renewals.
- Monitor all KCAA approvals, licenses, and other relevant documents to prevent lapses in certification.
- Aid in preparing for third-party audits through meticulous planning and evidence collation.
- Perform any other work-related tasks as assigned by the supervisor.
Work Environment
- The position requires adaptability to a 24-hour operational environment.
- Candidates must be able to work effectively in both team settings and independently, often under time-sensitive conditions.
Qualifications and Competencies
Minimum Requirements
- Minimum of 3 years of consecutive work experience in the aviation industry.
- A technical qualification, preferably in flight operations or aircraft maintenance.
- At least 2 years of experience in a quality assurance or compliance role.
- Completion of a Quality Management Systems (QMS) course or an equivalent from a recognized institution.
- ICT proficiency.
Knowledge, Skills, and Competencies
- Strong knowledge of Kenya Civil Aviation Regulations (KCARs).
- Solid understanding of AOC/AMO operations and relevant regulatory frameworks.
- Proven experience working directly with KCAA.
- Excellent verbal and written communication skills.
- A positive safety mindset and commitment to quality.
- Exceptional analytical ability and attention to detail.
- Well-organized, dependable, and able to multitask in a high-demand setting.
- Capable of following precise instructions and maintaining documentation accuracy.
