Position: Finance Officer – Operations
Location: Nairobi, Kenya

Job Summary
The Finance Officer – Operations is responsible for executing day-to-day financial transactions and ensuring compliance with internal controls, statutory requirements, and organizational policies. This role will support both finance operations and reporting functions, ensuring the accuracy and timeliness of financial records, reconciliation of key accounts, and processing of staff claims, vendor payments, and tax obligations.
Key Roles and Responsibilities
1. Financial Processing and Compliance
- Process invoices and payments in the Financial Management Information System (FMIS) as per the Service Level Agreement (SLA), ensuring all payments are well-supported and comply with internal policies.
- Oversee accurate and timely payment of taxes, including Withholding Tax and VAT, to the relevant authorities.
- Maintain and update the Fixed Assets and Project Assets registers.
- Review staff advances and claims, ensuring payments are supported, policy-compliant, and processed within SLA timeframes.
2. Account Reconciliation and Reporting
- Prepare bank reconciliations and resolve any reconciling items in a timely manner.
- Review and reconcile balance sheet accounts such as receivables and payables, and ensure overdue items are followed up and corrective journals posted.
- Verify staff advance surrenders for completeness and accuracy before posting them in FMIS.
- Assist in the preparation and dissemination of accurate and timely financial reports for management decision-making and statutory reporting.
3. Audit and Assurance Support
- Provide documentation and support for both internal and external audits.
- Maintain high standards of record-keeping and internal controls for audit readiness.
4. Risk Management and Governance
- Promote a culture of sound risk management and controls within finance operations.
- Actively identify, escalate, and mitigate risk incidents, including potential fraud or policy breaches.
- Ensure full compliance with all relevant organizational policies and procedures, including anti-corruption and safeguarding protocols.
5. Organizational Engagement
- Participate in regular learning sessions, reflection meetings, and knowledge-sharing initiatives.
- Uphold TMA’s core values and contribute to the creation of a high-performance culture.
- Report any safeguarding or integrity concerns promptly in line with TMA’s reporting channels.
Minimum Academic and Professional Qualifications
- Bachelor’s degree in Commerce (Accounting/Finance) or a related field.
- Certified Public Accountant of Kenya (CPA-K) or equivalent professional accounting qualification.
Work Experience Requirements
- At least three years of progressive work experience in a busy accounts department for degree holders.
- Hands-on experience with accounting software and Microsoft Office applications.
- Strong knowledge of financial forecasting, budgeting, and auditing principles.
Technical Skills and Competencies
- Excellent written and verbal communication skills.
