Royal Danish Embassy in Nairobi Hiring Professional Staff – Housing, Procurement And High-Level Visits

The Embassy is seeking to recruit a Professional Staff – housing, procurement and high-level visits who will be part of the Embassy’s Finance, HR, Housing and IT team. The team is part of the Embassy’s shared services and work closely with both the Kenya and Somalia Embassies. The position is as a leading member of the housing/IT sub-team and comes with a high degree of independent responsibility. You are expected to be a team player that is ready to contribute to tasks outside your own portfolio and share knowledge with and learn from colleagues.

Reporting: The Professional staff will report to the CFO and Team Leader of the Finance, HR, Housing and IT team.

Type of employment: Permanent, full time on a local contract

Responsibilities

Main duties and responsibilities

  • Leading member of the sub-housing and IT team, engaging in ensuring overview and follow up on ongoing tasks, prioritisation and management of processes, and focal point for any major building projects;
  • Independently act as procurement focal point based on the MFA procurement guidelines for procurements on the running cost budget. This entails contract management,
    contracting, managing stores and ongoing supplier contact and follow up. Further, the role includes providing guidance to other colleagues on procurement rules and processes;
  • Overall responsibility for inventories at the Chancery, Ambassadors’ residences and
    staff houses in accordance with the MFA guidelines for inventory management. This includes responsibility for updating inventory lists, keeping overview and follow up with suppliers and shippers on ordered items, procure and order new furniture and equipment and manage the budget for inventory;
  • Embassy logistical focal point for organising high-level visits and event. This includes organising and follow up with suppliers, booking of transport and accommodation, programme and time management and coordination among staff involved with the visit/events. Further, the role would include developing standard procedures and guidance for visits and events;
  • Assist and support the team’s work on leaning of processes;
  • Engage and remain informed on existing and emerging guidelines and regulations in relation to relevant areas of work. Ensure strong linkages with other key teams in the Embassy and the Danish Ministry of Foreign Affairs to ensure synergies, coordination and learning;
  • Other duties as assigned, including providing support and back-up to other colleagues as needed.

Education and Desired Experience

  • Good understanding of Danish/Nordic public administration, including willingness to independently gain knowledge of the MFA procedures and guidelines and applying them.;
  • At least 5 years of relevant work experience;
  • It is not a requirement that the candidate has specific procurement, inventory or events
    management, however, it might be an advantage;
  • Skilled in MS Office programs (Word, Outlook, Excel, PowerPoint), and other relevant programmes and applications as well as ability to quickly familiarize oneself with other IT systems.

  • Driven, curious and willing to engage and learn;
  • Good at understanding guidelines and requirements and translating them into concrete improvements;
  • Ability to work independently and in a structured, systematic and effective manner, with attention to detail and results;
  • Excellent English oral and written communication and presentation skills, strong interpersonal skills and ability to communicate with a wide range of audiences;
  • Team player with excellent interpersonal skills, motivated by cooperating with a diverse mix of professionals and different cultures. Ability to build and maintain networks.

Employment conditions

  • The Professional staff will be employed according to regulations for local staff at the Royal Danish Embassy in Nairobi. Employment is subject to successful security clearance obtained from the relevant Danish authorities.
  • You will be offered full time permanent employment on a local contract based on the relevant legally binding labour market rules of Kenya;
  • Your standard working hours will be 37 hours per week with a large degree of flexibility in organizing your own daily working hours;
  • You will be entitled to 25 days of paid holiday per year;
  • Your salary will reflect your qualifications, relevant experience and proven work-related results;
  • As part of your salary, you will be covered by a workplace pension scheme;
  • You and your dependent family members will be offered reasonable coverage of sickness expenses.
