1. Chief Accountant

Reporting to: Chief Finance Officer (CFO)

Job Summary: The Chief Accountant is responsible for managing and overseeing the school’s financial and accounting operations. The role ensures the accuracy and integrity of financial records, leads the accounting team, prepares financial reports for senior management, ensures compliance with statutory regulations, and supports decision-making processes through insightful financial analysis.

Key Duties and Responsibilities:

  • Develop and present a comprehensive annual budget for the school in consultation with stakeholders and consolidate it for submission to the CFO.
  • Continuously monitor budget usage, ensuring adherence, preventing overspending, and highlighting any variances to the supervisor.
  • Prepare and submit weekly reports on school fee collections and cash flow for decision-making.
  • Prepare monthly financial reports covering school revenue, expenditure, bank reconciliations, debtors, and creditors for CFO review.
  • Conduct monthly ledger reconciliations to ensure financial record accuracy.
  • Produce monthly performance and expenditure reports for the farm and uniform center to aid strategic decisions.
  • Prepare Environmental Safety Governance (ESG) reports on employee matters and utilities compliance.
  • Support internal and external audits by providing necessary documentation and clarification.
  • Report regularly on the costing of projects, comparing projected and actual expenditure.
  • Prepare payroll for all employees and Directors, ensuring accuracy and compliance with relevant laws.
  • Process and file statutory deductions (PAYE, NHIF, NSSF) and other applicable deductions.
  • Manage staff payslips, ensuring the timely payment of salaries and benefits.
  • Process weekly casual payments accurately based on attendance records.
  • Handle gratuity payments for contracts that have expired in compliance with regulations.
  • Manage employee welfare programs including the KITI program.
  • Oversee the renewal and application of medical covers for employees.
  • Liaise with KRA on tax matters as needed to ensure compliance.
  • Assist the CFO in implementing financial policies aimed at improving operational efficiency and reducing financial risks.
  • Ensure timely and accurate processing of accounts payable, receivable, and payroll transactions.
  • Mentor and guide Accounts Assistants for their professional growth.
  • Conduct regular risk assessments to identify and mitigate potential financial risks.
  • Build and maintain relationships with banks, auditors, and regulatory authorities.
  • Ensure accurate and timely submission of all financial reports.
  • Perform any other duties assigned by the supervisor from time to time.
