This position is on a two-year contract, renewable based on performance, continued need, and funding availability.

Overall Purpose of the Job
The Fleet Transport Coordinator will oversee the Centre’s vehicle fleet operations, ensuring optimal performance, safety, reliability, and cost-effectiveness. The role is critical in managing day-to-day fleet needs while aligning operations with organisational requirements and statutory obligations.
Key Responsibilities
The successful candidate will:
- Oversee proper use and accountability of fuel rations, including maintaining logs and managing fuel and oil storage tanks.
- Plan, organise, and manage the work of subordinate staff to ensure timely and effective service delivery.
- Respond to emergencies, vehicle breakdowns, and accidents promptly and efficiently.
- Allocate transport-related costs appropriately across departments or users.
- Coordinate the registration and disposal of Centre vehicles through relevant authorities, including the Ministry of Foreign Affairs and NTSA.
- Handle vehicle licensing, insurance, and renewals.
- Direct the dispatching, routing, and tracking of vehicles to support operational activities.
- Schedule and ensure compliance with annual vehicle inspections required by regulatory bodies.
- Maintain records of daily vehicle inspections, generate work orders, and manage availability and costing of vehicle parts.
- Supervise maintenance schedules and coordinate vehicle repairs to maintain operational safety and efficiency.
- Oversee internal driving assessments to qualify staff for institutional vehicle use.
- Identify training needs and recommend upskilling opportunities for team members to ensure technical competency and safety compliance.
- Ensure adherence to Occupational Health and Safety standards within the fleet operations.
Required Skills and Competencies
- Strong understanding of National Transport and Safety Authority (NTSA) regulations, especially concerning diplomatic vehicle registration and disposal.
- Familiarity with current vehicle technologies and basic procurement procedures.
- Effective communication, planning, and organisational skills.
- Proficiency in vehicle service and repair (mechanical and/or electrical).
- Record-keeping proficiency and cost allocation experience.
- Excellent interpersonal, problem-solving, and decision-making skills.
- Demonstrated ability to manage and motivate staff within a multicultural team setting.
Experience
- Minimum of five (5) years’ experience in a busy transport environment is required.
Academic Requirements
- A BSc in Mechanical or Automotive Engineering is required.
