Duties and Responsibilities
As a Procurement Assistant, the selected candidate will work under the direct supervision of the Chief of Section, Procurement. The role involves delivering procurement support services to ensure timely, cost-effective, and high-quality delivery in line with UN policies and procedures. Key responsibilities include:
- Review, record, and prioritize purchasing requests and obtain additional information/documentation as required; determine the availability of vendors and funding sources.

- Prepare abstracts of offers and compile data for evaluation; contact suppliers to obtain clarifications and negotiate contract terms.
- Assist in the preparation of proposals for award of contracts to the relevant review bodies.
- Prepare and present procurement files for review and approval by authorized officials.
- Draft and issue contracts; monitor contractual obligations and deadlines to ensure compliance.
- Maintain relevant internal databases and files; keep track of contractual agreements and purchase orders using UN’s Enterprise Resource Planning (ERP) system.
- Research and retrieve statistical data from internal and external sources; prepare reports and summary tables to facilitate decision-making.
- Draft routine correspondence related to procurement matters and respond to queries from stakeholders.
- Provide administrative support to meetings, including preparation of agendas, documentation, and follow-up actions.
- Perform other duties as assigned by the supervisor to ensure continuity and efficiency in procurement operations.
