Job Summary
This role is central to the functioning of the General Secretary/CEO’s Office. The Executive Secretary/Associate will provide high-level administrative, strategic, and programmatic support. The role demands excellent organizational ability, discretion, and communication skills to manage executive operations, drive implementation of key initiatives, and engage stakeholders effectively.
Key Responsibilities
1. Executive Office Management
- Perform operational and administrative tasks to support the efficient functioning of the GS/CEO’s Office.
- Serve as the primary point of contact for internal and external communications related to the GS/CEO’s Office.
- Manage and coordinate the GS/CEO’s schedule, meetings, and travel arrangements to maximize productivity.
- Organize and manage logistics for internal and external events, meetings, and conferences.
- Draft and edit correspondence, reports, speeches, and presentations for use by the GS/CEO.
- Maintain confidential records and documents with the highest level of discretion and integrity.
- Prepare accurate minutes for meetings such as the Management Committees and Management Team.
- Develop and manage the annual budget for the GS/CEO’s Office to ensure optimal financial control.
2. Strategic Support
- Track and monitor the progress of strategic plans, priority programs, and organizational initiatives led through the GS/CEO’s Office.
- Conduct background research and compile data for informed executive decision-making.
- Prepare summaries and briefings for internal and external engagements.
- Coordinate with senior managers and department heads on matters requiring the GS/CEO’s attention and follow-up.
3. Stakeholder Engagement
- Facilitate effective communication and coordination between the GS/CEO and CHAK’s member health facilities, donors, partners, government entities, and other key stakeholders.
- Represent the GS/CEO in delegated meetings and prepare detailed reports or summaries.
- Support external relations efforts, including relationship management with national and international stakeholders.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Public Administration, Project Management, or a health-related field.
- A master’s degree will be considered an added advantage.
- At least five (5) years of progressive experience in executive support, senior-level administration, or project management.
- Experience in a faith-based, development, or non-profit organization is highly desirable.
- Knowledge of organizational strategy and executive communication principles.
