The Ethics and Anti-Corruption Commission (EACC) is a constitutionally mandated body tasked with combating and preventing corruption and economic crimes in Kenya. Established under Section 3 of the Ethics and Anti-Corruption Act, No. 22 of 2011 pursuant to Article 79 of the Constitution, the Commission serves a crucial role in promoting transparency, integrity, and ethical conduct in public service and beyond.
To advance its mission of creating a corruption-free society and promoting accountability, EACC is seeking to enhance its administrative and operational capacity by recruiting qualified, diligent, and service-oriented individuals for the position of Office Assistant III, Job Grade EACC “12”.
This role presents a unique opportunity to support the Commission’s internal functions while contributing to the broader national agenda of good governance and ethical leadership.
Position Overview
The Office Assistant III will report directly to the Deputy Director – Administration under the Corporate Support Services Directorate. The successful candidates will be responsible for ensuring cleanliness, efficient mail dispatch, proper document filing, and general logistical support, all of which are critical for the smooth and professional functioning of EACC offices.
The Office Assistant plays a fundamental support role, directly impacting the operational efficiency of the Commission’s daily business and ensuring a conducive environment for all staff and visiting stakeholders.
Duties and Responsibilities
The Office Assistant III shall undertake a range of duties aimed at maintaining and enhancing internal operational support. These duties include but are not limited to:
- Office Cleaning and Hygiene Management
- Clean offices, kitchens, common areas, and meeting rooms to maintain high standards of hygiene and create a pleasant and healthy work environment.
- Mail Dispatch and Document Handling
- Deliver and collect both internal and external mail promptly to ensure seamless communication and action across departments.
- Distribute internal communication materials and notices to relevant departments or staff as directed.
- Office Equipment Movement and Layout Support
- Assist in rearranging and moving office furniture, equipment, and other items to support office reorganization or special setups as instructed by supervisors.
- Office Access Control
- Open and close office premises daily to ensure timely access for staff and to uphold security protocols.
- Photocopying and Marking Files
- Reproduce documents through photocopying as needed by departments.
- Label and mark files appropriately to assist in proper record-keeping and retrieval.
- Document Filing and Archiving
- File documents and records in designated storage systems to support efficient documentation and archiving processes.
- Minor Repairs and Maintenance Support
- Assist in carrying out minor repairs of office furniture and equipment (e.g., tightening screws, replacing knobs) to minimize disruptions caused by faulty items.
- Visitor and Client Support Services
- Welcome and guide visitors, stakeholders, and clients to appropriate offices, offering a professional and friendly first point of contact that reflects the Commission’s corporate image.
- Logistical Support During Deliveries
- Offload materials, office supplies, and equipment at the Commission’s headquarters or regional offices as required.
- Hospitality Support
- Prepare and serve tea or beverages during meetings, events, and to staff when assigned.
- Ensure cleanliness and readiness of kitchenware and hospitality areas.
- Kitchen Supply Procurement and Inventory Monitoring
- Purchase kitchen supplies and monitor stock to ensure availability and minimize disruptions in hospitality services.
These duties require attentiveness, reliability, and the ability to manage multiple routine tasks in a disciplined and time-conscious manner.
Requirements for Appointment
To be considered for appointment as Office Assistant III, candidates must meet the following minimum qualifications:
- Work Experience
- A minimum of three (3) years’ experience in a similar role within a reputable organization, preferably within a structured office environment.
- Academic Qualification
- Kenya Certificate of Secondary Education (KCSE) with a mean grade of D plain or its equivalent from a recognized institution.
- Additional Competency (Advantageous but not Mandatory)
- A Certificate in computer application skills from a recognized training institution will be an added advantage.
