ILRI’s Biosciences Program plays a critical role in enabling livestock research and innovation through advanced laboratories and clinical research infrastructure. The Clinical Research Facilities and Contract Research (CRF & CR) unit within the Biosciences directorate is pivotal to this mission. To strengthen quality and compliance within this unit, ILRI invites applications from qualified candidates for the position below.


Position: Quality Assurance Officer

Location: Nairobi, Kenya

Job Purpose

Reporting to the Quality Assurance (QA) Manager, the Quality Assurance Officer will ensure the delivery of high-quality research and the effective implementation of quality systems. This includes managing audits, ensuring compliance with global standards (including Good Clinical Practices), and facilitating continuous improvement processes across ILRI’s Clinical Research Facilities.


Key Responsibilities

1. Compliance & Auditing

  • Ensure compliance with relevant guidelines, controlled documents, and protocols.
  • Conduct study-specific audits on critical phases of research studies.
  • Review and audit study schedules, protocols (including amendments), and final reports.
  • Perform facility/system audits and process evaluations.
  • Conduct audits on subcontractors and outsourced services.
  • Support and coordinate sponsor audits and regulatory inspections at ILRI sites.

2. Operational QA Support

  • Manage operational aspects of ILRI’s quality assurance program.
  • Prepare and conduct audits, issue reports, and document critical findings.
  • Implement corrective actions and ensure follow-through for compliance.
  • Oversee quality assurance for small to mid-sized research projects.

3. Documentation and Record-Keeping

  • Manage QA documentation and ensure records are maintained in line with quality standards.
  • Monitor deviations, manage change control, and implement improvements.
  • Track and report corrective and preventive actions (CAPAs) for non-conformance.
  • Maintain and update critical QA registers, including the Audit Register, Master Schedule, and SOP Vault.

4. Training and Knowledge Sharing

  • Train staff on quality standards, GCP principles, standard procedures, and regulatory compliance.
  • Work with the QA Manager to build a culture of quality and accountability across the research unit.

5. Cross-Functional Coordination

  • Collaborate with the Facilities and Projects Unit, Environmental, Occupational Health & Safety (EOHS) team, and other ILRI departments to ensure a consistent and effective QA program.
  • Ensure alignment with accreditation standards and legal/regulatory requirements.

6. Administrative Support

  • Assist in implementing relevant policies aligned with accreditation requirements.
  • Contribute to internal reviews, documentation audits, and quality benchmarking exercises.
  • Support additional tasks and responsibilities as delegated by the QA Manager.

Requirements

  • Academic Background: Master’s degree in biological or natural sciences.
  • Certifications: Certificate in Quality Auditing (e.g., Certified Quality Auditor or equivalent).
  • Experience: At least 3 years in a similar QA role within a research, clinical, or laboratory setting.
  • Skills: Proficiency in computer applications, excellent documentation practices, and familiarity with Good Clinical Practices (GCP).
  • Additional Advantage: Knowledge of animal health, welfare, biosafety, and biosecurity issues.

Terms of Appointment

  • This appointment is for an initial period of three (3) years, renewable depending on performance and funding availability.
  • The position is graded at HG 13 and is open only to Kenyan nationals.
