The Role: Executive Administrative Assistant (Athi River Campus)
As the Executive Administrative Assistant, you will work directly with the School Leader, supporting the strategic and operational needs of our Athi River campus. Your role will include administration, communications, partnerships, event coordination, and teammate culture — all crucial to creating an environment where students and staff thrive.
Key Responsibilities
1. Organization and Administration
- Provide day-to-day administrative support to the School Leader.
- Maintain and monitor the school calendar, ensuring alignment with global, regional, and campus events.
- Analyze weekly data dashboards covering areas such as academics, behavior, enrollment, transport, and stakeholder satisfaction. Work with the leadership team to ensure performance exceeds expectations.
- Review budgetary reports (via PowerBi) and ensure zero variance from financial expectations.
- Ensure all school handbooks and policies are current and effectively implemented.
- Coordinate campus hiring activities including recruitment, onboarding, and role fulfillment.
- Prepare documents for internal and external meetings (photocopying, binding, filing).
- Handle school communications with stakeholders via phone, email, and written documents.
- Organize logistics for meetings and take meeting minutes when required.
- Assist with Executive PTA communication and meetings.
- Maintain comprehensive physical and digital filing systems.
2. Communication
- Support internal communication initiatives across the school.
- Create and disseminate key messages to internal and external audiences to build goodwill.
- Lead storytelling and promotional efforts for school achievements and innovations.
- Draft and edit newsletters, reports, speeches, and media articles.
- Manage and craft talking points for external stakeholder engagement.
- Collaborate with Admissions and school leadership to support media and marketing efforts.
- Lead the creation of visual and multimedia promotional materials.
- Curate and maintain a gallery/archive of school events in photo and video formats.
3. Partnerships
- Manage the entire lifecycle of partnerships: from scoping and planning to execution and review.
- Develop a stakeholder contact database and communication plan for key groups.
- Report to the School Leader on partnerships progress and implementation.
- Conduct research to assess stakeholder expectations and provide data-driven recommendations.
- Initiate and oversee unique school programming such as Innovation Week, Community Service Week, concerts, and networking events.
- Manage public relations during crisis situations, ensuring strategic communication.
4. Teammate Culture and School-Wide Events
- Create and implement a calendar for teammate culture activities (monthly, termly, yearly).
- Coordinate campus-wide culture events such as Nova Cafés, One Team Day, and Nova Talks.
- Collaborate with the school culture champion for the selection and recognition of culture heroes.
- Manage planning and logistics for major events including graduations, sports day, swimming gala, and prize-giving ceremonies.
- Lead training efforts for staff and stakeholders on communication and partnership strategies.
About You
To excel in this role, you should have:
- 2-4+ years’ experience as an Administrative Assistant in a school, startup, or large company setting.
- Familiarity with Google Workspace tools (Calendar, Docs, Sheets, Gmail) and Microsoft Office (Word, Excel, PowerPoint).
- Strong writing, communication, and graphic design skills (for posters, newsletters, certificates).
- Excellent planning, time management, and multitasking abilities.
- A proactive and solution-oriented mindset.
- Confidence in both verbal and written communication to various stakeholders.
