As part of FPS Foreign Affairs, the Embassy in Nairobi serves as a critical liaison between Belgium and Kenya, promoting diplomatic relations, trade, and development.

Now, the Embassy is looking to reinforce its operational capacity with the addition of a Logistics Officer — a vital support role that ensures the effective functioning of the embassy’s daily activities.

Job Purpose

The Logistics Officer will be responsible for ensuring the smooth and efficient operation of the Embassy’s logistical and ICT systems. This includes managing resources, coordinating maintenance and procurement activities, and supporting the general administrative functioning of the mission.

The role requires a proactive, detail-oriented individual with strong organizational and communication skills, and a working knowledge of ICT systems. The ideal candidate is someone who thrives in a fast-paced, multicultural environment and is capable of handling a diverse range of operational tasks with professionalism and discretion.


Key Duties and Responsibilities

The Logistics Officer will report directly to the Head of Administration and will work closely with the entire embassy team. The responsibilities of this role include, but are not limited to:

1. Logistical Coordination

  • Oversee and manage the inventory of all Embassy assets and supplies, ensuring accurate records and documentation.
  • Coordinate the procurement process for goods and services, including preparing requests for quotes, liaising with suppliers, and ensuring compliance with internal procedures.
  • Plan and coordinate deliveries and installations of office equipment, supplies, and other materials.
  • Maintain records of maintenance and service agreements for embassy facilities and assets.
  • Organize and supervise repair and maintenance work for embassy buildings, vehicles, and equipment.
  • Coordinate logistics for official visits, events, and functions, including booking venues, arranging transport, and providing on-site support as needed.

2. ICT and Technical Support

  • Serve as the first point of contact for basic ICT issues, providing technical assistance to embassy staff.
  • Liaise with the central ICT department in Brussels for more advanced ICT matters or system updates.
  • Monitor the proper functioning of IT equipment such as computers, printers, Wi-Fi routers, and other hardware.
  • Support the setup and maintenance of embassy email accounts, shared drives, and communication platforms.
  • Keep track of software licenses and ensure compliance with ICT security policies.

3. Administrative and Security Support

  • Assist with administrative tasks such as filing, record-keeping, and preparation of internal reports.
  • Support embassy staff in the execution of daily operations, especially during events or periods of high activity.
  • Participate in security protocol briefings and ensure that logistics operations align with security standards.
  • Coordinate with service providers and external contractors, ensuring adherence to embassy rules and procedures.

4. Vehicle and Fleet Management

  • Manage the maintenance schedule and use of embassy vehicles.
  • Monitor fuel usage, mileage records, and repair logs.
  • Coordinate with drivers to ensure efficient transportation arrangements for official missions.

Ideal Candidate Profile
