Job Description
The selected candidate will work under the Japan Information & Culture Centre, which is responsible for cultural affairs, media outreach, and human exchange programmes between Japan and Kenya. This is a full-time position involving multiple responsibilities across programme coordination, media relations, and administrative support.
Key Responsibilities:
- Event Support and Organisation
- Assist in organising and managing events hosted by the JICC.
- Coordinate with external stakeholders including local institutions, vendors, and media.
- Handle logistics for events such as venue setup, clean-up, equipment, and catering.
- Prepare and maintain minutes of meetings and reports related to events.
- Programme Coordination
- Support the planning and implementation of various human exchange programmes such as scholarships and training visits to Japan.
- Assist in the administration and documentation of Japan’s financial assistance programmes.
- Communicate with programme applicants and participants.
- Assist in application screening, document preparation, and follow-up communications.
- Media and Public Relations
- Facilitate media engagement for the Embassy’s cultural and public events.
- Monitor local media for coverage relevant to Japan and Embassy initiatives.
- Prepare press kits, maintain media databases, and ensure accurate reporting of activities.
- Digital Communication and Website Management
- Assist in managing the Embassy’s official website and social media platforms (Facebook, X/Twitter, Instagram, etc.).
- Update content regularly and ensure alignment with Embassy messaging and event timelines.
- Coordinate online campaigns and promotional activities for cultural events and programmes.
- Creative Content Development
- Draft promotional materials such as flyers, brochures, posters, and invitations for JICC events and programmes.
- Collaborate with team members on visual and textual content.
- Ensure that designs are aligned with the Embassy’s branding and communication strategy.
- Administrative and General Office Support
- Carry out administrative duties as required by the Head of Department.
- Respond to public inquiries about cultural events, scholarship opportunities, and general information.
- Assist with documentation and recordkeeping for the Centre’s ongoing activities.
Required Skills and Experience
Applicants must meet the following minimum requirements in order to be considered:
- Language Proficiency:
- Must be able to communicate fluently in both English and Japanese.
- This includes the ability to read, write, and speak in both languages.
- Applicants who cannot communicate in Japanese are not eligible for this position.
- Educational Background:
- A relevant university degree from a recognised university.
- Technical Proficiency:
- Must demonstrate proficiency in the use of Microsoft Word and Excel.
- Ability to manage social media platforms effectively.
- Basic website management skills are an added advantage.
- Personal and Legal Requirements:
- Must not have a criminal record.
- If the applicant is a Japanese national, they must already possess permanent residency and work permits in Kenya at the time of application.
