Position Overview

Harley’s Ltd is seeking a proactive, organized, and resourceful Facilities Assistant with over 3 years of relevant experience. The successful candidate will play a key role in ensuring smooth day-to-day operations of company facilities, ensuring maintenance, hygiene, and compliance standards are upheld across all company premises.

This position will support the Facilities and Administration Manager and contribute to effective governance, regulatory compliance, and cost management within the facilities management function. The Facilities Assistant will embody Harley’s values, uphold ethical standards, and support various departments by responding to service requests and maintenance needs promptly.

Key Responsibilities

Governance Support

  • Assist the Facilities and Administration Manager in the development and enforcement of policies and procedures for effective facilities operations.
  • Support the establishment of processes that enhance compliance, reduce cost, and increase operational efficiency in facility-related matters.

Compliance and Audit Preparedness

  • Ensure that facilities management practices are fully compliant with applicable laws and internal policies.
  • Aid in supervising the closure of audit issues raised in Health & Safety, Electrical Safety, and Energy Audits.
  • Collaborate with the Health and Safety Executive and Facilities and Administration Manager to ensure full adherence to the OSHA Act and Harley’s internal Health & Safety Policy.
  • Maintain an audit-ready environment across all facilities.

Administrative Oversight

  • Conduct regular inspections of all Harley’s facilities including branches and head office locations to ensure upkeep and readiness.
  • Coordinate facility support teams to address maintenance or service requests raised by departments.
  • Track cost expenditures and update maintenance logs, ensuring timely correction of all defects within defined Service Level Agreements (SLAs).
  • Manage the administration of facility contracts, including tracking expiration dates and coordinating timely renewals or terminations—beginning no less than three months before contract expiration.

Cost Management & Preventive Maintenance

  • Participate in designing and implementing a cost-effective facility maintenance program.
  • Ensure that preventive maintenance schedules are executed efficiently to avoid equipment failures and service interruptions.
  • Assist in identifying cost-saving opportunities within the facilities department and managing supplier engagements prudently.

Minimum Requirements

  • Diploma in Facilities Management or a related field.
  • At least 3 years of relevant experience in facilities management and maintenance.
  • Proven ability to manage multiple projects and meet tight deadlines.
  • Strong understanding of supplier contract handling and facilities operations.
  • Working knowledge of project management practices.
  • Health and Safety training will be an added advantage.
