Job Description: Business Processes Officer

The Business Processes Officer will be responsible for analyzing, evaluating, and enhancing operational and administrative functions within CITAM. This includes reviewing existing procedures, ensuring compliance with internal and external policies, developing improved systems, and leading initiatives that drive operational synergy across departments. A key area of focus will be leveraging Artificial Intelligence (AI) to boost administrative productivity.

The role calls for an experienced professional who not only possesses business process acumen but is also spiritually grounded and aligns with CITAM’s core Christian values.

Key Responsibilities

1. Business Process Analysis and Optimization

  • Conduct thorough assessments of existing administrative and operational procedures across various departments.
  • Identify inefficiencies, bottlenecks, and risks in the current processes and recommend improvements.
  • Develop and implement streamlined processes that support efficiency, accountability, and compliance with organizational goals.

2. Risk Assessment and Management

  • Evaluate internal operational risks that may hinder administrative and ministry effectiveness.
  • Work with departmental heads to design and implement appropriate risk mitigation strategies.
  • Maintain and update the ministry’s operational risk register, ensuring timely escalation and treatment of key risks.

3. Policy Evaluation and Implementation

  • Review and assess the effectiveness of existing administrative policies, procedures, and guidelines.
  • Develop new policies or update current ones in consultation with relevant stakeholders.
  • Monitor the implementation of approved policies to ensure compliance and identify areas of resistance or required support.

4. Integration of AI and Modern Technologies

  • Explore and recommend suitable AI tools that can enhance administrative operations such as document processing, scheduling, and data analysis.
  • Facilitate training sessions for departmental teams on the use of new technologies.
  • Oversee the integration of AI-driven solutions while ensuring data security and ethical compliance.

5. Audit Follow-Up and Compliance

  • Coordinate the follow-up of audit findings and ensure that necessary corrective actions are implemented within agreed timelines.
  • Track and report on audit compliance progress to the Director of Administration and relevant oversight bodies.
  • Assist departments in understanding and adhering to internal audit recommendations and compliance requirements.

6. Enhancing Departmental Synergy

  • Facilitate cross-departmental collaboration to promote operational alignment and cohesive policy application.
  • Organize forums or workshops to encourage information sharing and best practice exchange between teams.
  • Act as a liaison between administrative units to resolve process conflicts or overlaps.

7. Documentation and Reporting

  • Maintain accurate documentation of all business process reviews, risks assessments, and policy developments.
  • Prepare and present regular reports on process efficiency, compliance status, and risk management performance.
  • Submit data-driven recommendations to leadership to inform decision-making processes.

8. Strategic Alignment with Ministry Goals

  • Ensure all administrative processes support the ministry’s short-term and long-term objectives.
  • Participate in strategic planning sessions and provide insights based on process evaluation findings.
  • Advocate for process improvements that enhance the ministry’s impact and operational stewardship.

Requirements

  • Must be a born-again, mature Christian who upholds the CITAM statement of faith.
  • A Bachelor’s degree in Business Administration, Finance, Economics, Computer Science, Statistics, or a related field from a recognized institution.
  • A minimum of 6 years of continuous experience in a similar role with demonstrable achievements.
  • Proven expertise in:
    • Business analytics
    • Risk management
    • Policy evaluation and implementation
  • Strong knowledge and hands-on experience in:
    • Data analysis software and tools
    • Business intelligence platforms
    • AI applications in administrative contexts
  • Excellent communication and interpersonal skills with the ability to influence and coordinate with diverse teams.
  • Strong analytical and problem-solving skills essential for diagnosing issues and designing innovative solutions.
  • Ability to manage multiple priorities in a fast-paced, faith-based organizational environment.
