About the Role
The Embassy is looking to recruit one Private Secretary who will work on a full-time basis. This position is essential to the smooth operation of the Embassy and plays a critical role in the day-to-day administrative functions. The Private Secretary will provide support to senior officials and handle confidential communications, documentation, and logistical arrangements. The role requires a highly organized, discreet, and professional individual who can manage responsibilities with diligence and integrity.
This is a contract-based role lasting two years, with the possibility of extension depending on performance and the evolving needs of the Embassy. The monthly gross remuneration for this position is set at 400 Euros, and payments will be made in accordance with the Embassy’s payroll regulations. The salary is subject to applicable deductions as stipulated by the relevant social insurance legislation.

Key Responsibilities
The main duties and responsibilities of the Private Secretary include, but are not limited to:
- Assisting with a variety of tasks as directed by embassy officials
- Supporting the handling and organization of documents, correspondence, and other office materials
- Participating in routine office operations to ensure smooth and professional service delivery
- Providing general assistance in communication efforts within the Embassy and with external contacts
- Performing tasks that may require interaction with visitors, guests, or other stakeholders
- Undertaking assignments as needed in support of embassy events, meetings, or logistical arrangements
- Demonstrating flexibility and a willingness to take on other duties as assigned in line with the needs of the Embassy
- The position may also require occasional work outside of standard office hours, depending on embassy priorities and operational demands.
Required Qualifications and Eligibility Criteria
To qualify for this position, applicants must meet the following criteria. These requirements are essential and form the basis for eligibility:
- Must be a legal resident of Kenya or
- Must possess either Greek nationality or any other valid nationality
- Applicants holding Greek citizenship must have fulfilled their national military service obligations or must provide official documentation confirming exemption from service
- Age must be between 21 and 60 years at the time of application
- Strong computer proficiency, especially in office productivity tools such as word processing, spreadsheets, and email platforms
- Excellent command of both English and Swahili languages, in both written and spoken form
- Willingness to work overtime as needed, depending on the demands of the position
- Demonstrated ability to maintain discretion and handle sensitive or classified information appropriately
- Prior experience in a similar administrative or secretarial role is preferred; applicants with verifiable references and work history will be given additional consideration
- A valid Certificate of Good Conduct or equivalent Criminal Record Certificate issued by the relevant authority in the applicant’s country of residence is mandatory for all shortlisted candidates
Employment Terms and Legal Provisions
This role is governed by either Greek or Kenyan employment regulations, depending on the candidate’s nationality:
- Greek nationals appointed to the role may opt to be registered under the Greek social insurance system upon application. The Embassy will provide support with the necessary processes if this option is selected.
- Non-Greek nationals appointed to the role will be enrolled under the Kenyan social insurance system, in compliance with national employment legislation.
- In all cases, the employer’s contributions toward social insurance will be covered by the Greek State, and employee contributions will be deducted from the gross salary in accordance with applicable law.
- The Embassy complies with both Greek and Kenyan labor regulations and is committed to fair employment practices.
