In line with its mission and strategic objectives, the University is pleased to announce an exciting opportunity for a qualified and competent individual to join its team as an Academic Quality Assurance Officer. This role is integral to enhancing and maintaining the academic quality standards of the University’s academic programs.

This position offers a unique opportunity to be at the forefront of quality assurance in higher education. The successful candidate will work closely with internal and external stakeholders to ensure academic programs and processes at KCA University adhere to the highest quality standards set by regulatory and accrediting bodies.

Position: Academic Quality Assurance Officer

Job Objective

The Academic Quality Assurance Officer will be responsible for coordinating and supporting the development, implementation, monitoring, and continuous improvement of academic quality assurance systems, policies, and procedures. The role aims to ensure the University delivers high-quality academic programs that are compliant with both national and international standards and aligned with KCA University’s strategic vision and mission.

Duties and Responsibilities

  1. Coordination of Quality Assurance Processes
    • Lead and facilitate both internal and external academic quality assurance processes.
    • Ensure proper documentation and execution of academic program approvals, curriculum reviews, and periodic self-assessment audits.
    • Organize and oversee the process of accreditation and reaccreditation of academic programs.
  2. Monitoring of Curriculum Delivery
    • Conduct regular evaluations of curriculum delivery mechanisms across various academic departments.
    • Assess and monitor the quality and consistency of teaching and assessment in line with approved academic standards and regulatory guidelines.
  3. Regulatory Compliance
    • Ensure that academic programs and institutional practices adhere to the standards and guidelines provided by regulatory and accreditation agencies such as the Commission for University Education (CUE), Technical and Vocational Education and Training Authority (TVETA), and the Kenya National Qualifications Authority (KNQA).
    • Serve as a liaison between the University and regulatory bodies, facilitating timely reporting and compliance.
  4. Policy Development and Review
    • Contribute to the formulation, review, and implementation of academic quality assurance policies, procedures, and operational manuals.
    • Ensure that all quality assurance documentation is aligned with the University’s academic goals and national regulatory frameworks.
  5. Advisory Role to Academic Departments
    • Provide expert advice to faculties and academic departments on matters related to academic quality and assurance best practices.
    • Assist departments in identifying gaps and implementing corrective measures for quality enhancement.
  6. Quality Audit Tools and Performance Indicators
    • Design, develop, and implement tools for auditing academic quality.
    • Establish and track performance indicators that reflect the effectiveness and efficiency of academic operations.
  7. Data Collection and Analysis
    • Gather and analyze data on academic performance, course evaluations, student satisfaction surveys, and graduate tracer studies.
    • Use data insights to drive evidence-based improvements in teaching, curriculum, and academic support services.
  8. Capacity Building and Sensitization
    • Organize training workshops and awareness sessions for faculty and staff on academic quality assurance principles, regulatory standards, and internal processes.
    • Promote a culture of quality and continuous improvement across the University.
  9. Reporting and Documentation
    • Prepare detailed reports on academic quality metrics and submit them to relevant stakeholders including internal management, regulatory bodies, and external auditors.
    • Maintain comprehensive records of all audits, accreditation processes, program reviews, and quality improvement initiatives.
  10. Institutional Assessments and Benchmarking
    • Support institution-wide self-assessment exercises and prepare for institutional audits or external reviews.
    • Participate in national and international benchmarking activities to position the University competitively in the higher education landscape.
  11. External Engagement and Networking
    • Represent the University in national and international quality assurance forums, workshops, and conferences.
    • Engage with peer institutions to learn, share, and incorporate global best practices in quality assurance.
  12. Additional Responsibilities
    • Perform any other duties related to academic quality assurance as may be assigned by the supervisor or University management.

Qualifications and Experience

  • A Master’s degree in Education, Quality Assurance, Curriculum Development, or any other relevant field from an accredited or recognised institution.
  • A minimum of three (3) to five (5) years’ experience in quality assurance, academic administration, or higher education policy.
  • Proven knowledge and practical experience working within university regulatory frameworks and accreditation processes, particularly in the Kenyan higher education context.

Other Skills and Competencies

  • Strong grasp of academic quality assurance frameworks and practices in higher education.
  • Excellent skills in data collection, statistical analysis, and interpretation of academic quality metrics.
  • Proficiency in the use of academic quality management systems and digital tools.
  • Superior planning and organizational skills with the ability to manage multiple tasks and deadlines effectively.
  • Strong verbal and written communication skills suitable for engagement with academic staff, regulators, and other stakeholders.
  • High attention to detail, with a strong drive for accuracy and compliance.
  • Proven ability to foster teamwork and build collaborative relationships within academic and administrative settings.
  • A strong commitment to upholding academic integrity and promoting a culture of continuous improvement.
