Job Objective

The ICT Officer will play a vital role in the effective management and security of KCA University’s information and communication technology systems. The role holder will be responsible for ensuring the confidentiality, integrity, and availability of the University’s ICT infrastructure, networks, systems, and data. Through their efforts, they will help to create an environment where technology enhances learning, teaching, research, and administrative functions.

This is a full-time position based at the university’s main campus in Nairobi, with responsibilities that may extend to other campuses and departments as necessary.

Duties and Responsibilities

The ICT Officer will perform a range of critical duties aimed at maintaining and enhancing the University’s ICT ecosystem. Key responsibilities include but are not limited to:

System and Network Maintenance

  • Ensure the optimal functioning of computing systems, including hardware, software, and network components.
  • Oversee the operation and maintenance of data communication systems across all campuses.
  • Carry out routine system checks, upgrades, and updates to minimize downtime and enhance system efficiency.

Preventive Maintenance and Repair

  • Conduct regular preventive maintenance to ensure ICT equipment remains in good condition.
  • Identify, analyze, and repair faulty ICT components such as servers, desktops, laptops, printers, scanners, and network hardware.
  • Troubleshoot and resolve compatibility issues related to software and hardware across different systems.

Procurement and Resource Allocation

  • Initiate the procurement process for ICT resources by providing accurate and relevant equipment specifications for different university departments and units.
  • Oversee the distribution of procured ICT equipment, ensuring fair and efficient allocation in alignment with the university’s resource policies.
  • Maintain an up-to-date inventory of all ICT equipment and track usage to inform future procurement and upgrading decisions.

Software Configuration and Support

  • Obtain and install software for ICT training laboratories to support academic activities.
  • Assist academic staff, including ICT Trainers and Technologists, during laboratory and workshop sessions to facilitate effective learning.
  • Install and configure Enterprise Resource Planning (ERP) software on university computers, ensuring optimal use in administrative and academic processes.

Helpdesk and User Support

  • Manage user work tickets, ensuring timely response and resolution of ICT-related issues.
  • Provide end-user support for common technical problems, escalating complex issues to senior personnel or external service providers when necessary.
  • Offer technical guidance to university staff and students to enhance the effective use of ICT tools.

Security Management

  • Install and configure antivirus software across all university computers.
  • Manage and update antivirus server software to counter emerging threats and safeguard university data and digital assets.
  • Identify vulnerabilities in existing systems and recommend necessary security measures to address these gaps.

Reporting and Documentation

  • Prepare and submit regular reports on the condition of ICT equipment for administrative review and decision-making.
  • Maintain detailed documentation of maintenance activities, system configurations, and hardware/software assets for accountability and compliance.

Additional Responsibilities

  • Carry out any other duties and responsibilities as may be assigned by the supervisor or the Head of Department in line with the university’s strategic objectives.
  • Collaborate with internal departments and external partners to implement new technologies or upgrade existing systems.

Qualifications and Experience

  • A Bachelor’s degree in Computer Science, Information Technology, Network Engineering, or a related field from a recognized institution.
  • A recognized ICT security certification such as CISSP, CISM, or CISA.
  • A minimum of five (5) years of relevant work experience in a comparable role, preferably within an institution of higher learning or a large commercial enterprise.

Desirable Experience and Technical Proficiency

The ideal candidate will have experience in the following areas, which will offer a distinct advantage during selection:

  • Configuration and management of Cyberoam UTM (Unified Threat Management) firewalls.
  • Administration and maintenance of Microsoft Active Directory.
  • Implementation and support of digital examination systems.

Key Competencies and Skills

  • Strong organizational and planning skills, with the ability to manage multiple tasks and deadlines effectively.
  • Excellent interpersonal and communication abilities, capable of working with diverse groups including students, faculty, and administrative staff.
  • Demonstrated reliability and resilience in handling pressure and solving complex problems.
  • High levels of honesty and integrity, particularly when dealing with sensitive data and institutional systems.
  • Strong critical thinking and analytical skills.
  • Teamwork orientation and ability to collaborate with various stakeholders to resolve technical challenges.
  • Knowledge and understanding of Enterprise Resource Planning (ERP) systems.
  • Familiarity with information security governance frameworks and data protection regulations.

The successful candidate will be expected to contribute to the growth of the university’s ICT environment, support strategic initiatives, and promote a culture of continuous improvement and innovation in ICT service delivery.
