This critical role will directly contribute to the ongoing enhancement of academic programs, ensuring compliance with regulatory frameworks, and promoting a culture of continuous improvement in teaching, learning, and assessment. The ideal candidate will be deeply committed to academic integrity and educational quality, possess strong analytical and planning skills, and demonstrate an ability to work collaboratively within a dynamic academic environment.

This is a full-time position based at KCA University’s main campus in Nairobi.

Position Title: Academic Quality Assurance Officer

Job Objective

The Academic Quality Assurance Officer will be responsible for coordinating and supporting the development, implementation, monitoring, and continuous improvement of the University’s academic quality assurance systems. The role ensures that the University’s academic programs adhere to high standards of quality, align with regulatory requirements, and reflect the University’s vision and mission.

The officer will serve as a vital link between academic departments and regulatory authorities, ensuring that internal and external quality assurance processes are consistently followed and effectively managed. The position also includes oversight of audit processes, quality metrics analysis, and institutional benchmarking to support evidence-based decision-making.

Duties and Responsibilities

  1. Coordination of Quality Assurance Processes
    • Coordinate both internal and external quality assurance processes related to academic programs, including program approval, curriculum reviews, accreditation processes, and self-assessment audits.
    • Ensure that all quality assurance processes are aligned with the regulatory and accreditation bodies’ guidelines, such as the Commission for University Education (CUE), the Technical and Vocational Education and Training Authority (TVETA), and the Kenya National Qualifications Authority (KNQA).
    • Support academic departments during regulatory audits, program validations, and institutional reviews.
  2. Monitoring Curriculum Delivery and Assessment
    • Track and monitor the implementation of academic programs, including curriculum delivery and student assessment processes.
    • Ensure all teaching and learning activities conform to established academic quality standards and benchmarks.
    • Identify gaps in curriculum implementation and work with faculty to address performance and quality concerns.
  3. Policy Development and Implementation
    • Contribute to the development, periodic review, and effective implementation of academic quality assurance policies, procedures, and operational manuals.
    • Develop institutional strategies and standard operating procedures that promote quality teaching, learning, and assessment.
    • Provide technical support and guidance to departments to ensure policy adherence.
  4. Advisory and Capacity Building
    • Serve as an internal advisor on quality assurance issues to faculty and academic support staff.
    • Offer guidance on best practices in academic quality management, educational assessment, and learning outcome measurement.
    • Organise and facilitate training workshops, seminars, and sensitisation sessions on academic quality assurance principles, tools, and techniques.
  5. Development and Use of Audit Tools
    • Design and update academic quality audit tools and key performance indicators (KPIs) to support regular reviews of academic processes.
    • Coordinate and conduct institutional self-assessments to identify areas for improvement.
    • Prepare departments for academic and institutional audits by regulators or independent assessors.
  6. Data Collection, Analysis, and Reporting
    • Develop and manage a robust data collection system for academic performance metrics, including student evaluations, learning outcomes, retention rates, and graduation rates.
    • Analyse feedback from students, alumni, and other stakeholders through surveys such as course evaluations, graduate tracer studies, and employer satisfaction surveys.
    • Use data insights to recommend evidence-based improvements to academic programs.
  7. Quality Reporting and Documentation
    • Prepare periodic internal and external quality assurance reports to track compliance, identify emerging issues, and recommend improvements.
    • Ensure timely and accurate submission of reports to regulatory bodies, accreditation agencies, and internal stakeholders.
    • Maintain an updated repository of quality assurance documentation, including audit reports, meeting minutes, and policy documents.
  8. Stakeholder Engagement and Benchmarking
    • Engage in national and international quality assurance networks and collaborations to remain informed of best practices, trends, and standards.
    • Participate in benchmarking exercises with peer institutions to assess and enhance the University’s academic quality position.
    • Represent the University in professional forums on education quality and accreditation.
  9. Continuous Quality Improvement
    • Promote a university-wide culture of continuous quality improvement in teaching, learning, and research.
    • Support innovations that improve academic delivery and student experience, and monitor the effectiveness of these initiatives.
    • Lead or participate in special projects related to academic excellence and quality assurance.
  10. Other Responsibilities
    • Undertake any other quality assurance-related tasks as may be assigned by the supervisor or the University management from time to time.

Qualifications and Experience

  • A Master’s degree in Education, Quality Assurance, Curriculum Development, or a closely related field from a recognised and accredited institution.
  • A minimum of 3 to 5 years’ experience in academic quality assurance, higher education policy, curriculum development, or academic administration.
  • Proven knowledge and understanding of regulatory frameworks governing higher education in Kenya or similar contexts.
  • Hands-on experience working with accreditation and compliance frameworks such as those of CUE, TVETA, and KNQA is essential.

Other Skills and Competencies

  • In-depth understanding of academic quality assurance models, standards, and evaluation tools within a higher education context.
  • Excellent analytical and problem-solving skills, with the ability to use data to inform decisions and drive improvement.
  • Outstanding planning and organisational abilities, with a demonstrated ability to manage multiple projects or reviews simultaneously.
  • Strong written and verbal communication skills, including the ability to prepare comprehensive reports and deliver impactful presentations.
  • Excellent interpersonal skills with the capacity to engage and build relationships with diverse academic and administrative stakeholders.
  • A detail-oriented mindset and a commitment to maintaining high standards of quality and professionalism.
  • Proficiency in statistical tools, quality management systems, and other relevant software used in higher education data management.
