The successful candidate will be based at our Ruiru Campus or Technology Park, Mang’u, and will play an integral role in supporting departmental operations and official transport logistics.

Job Summary:
The Administrative and Transport Assistant will serve as a key support staff in ensuring both administrative coordination and logistical efficiency within the university. The role combines routine office support functions with transport duties, requiring someone who can adapt fluidly to varied responsibilities.

The successful candidate will provide clerical support across multiple departments, maintain essential office records, help coordinate procurement processes, and provide professional driving services to authorized university personnel.

Duties and Responsibilities

The responsibilities for this role have been classified into two categories: Administrative Duties and Driving Duties.

A. Administrative Duties

The selected candidate will be responsible for supporting the operational efficiency of the university by executing the following tasks:

  1. Procurement Support:
    • Assist with general procurement clerical tasks such as preparing Request for Quotations (RFQs), Request for Proposals (RFPs), and ensuring timely dispatch.
    • Aid in updating procurement performance monitoring tools to ensure tracking and transparency.
    • Assist in coordinating inspections and processing of goods delivered to various university departments.
    • Support the creation and maintenance of well-organized supplier files and procurement records.
  2. Operational Coordination:
    • Execute all out-of-office errands and assignments in a timely and efficient manner, which may include document delivery, stakeholder engagement, and minor field operations.
    • Provide logistical support in meeting the requirements of satellite campuses, ensuring seamless coordination with central administration.
    • Assist in arranging departmental and committee meetings, including scheduling and calendar management.
  3. Records Management and Reporting:
    • Maintain and update departmental records, reports, and internal databases with accuracy and confidentiality.
    • Assist in the compilation of monthly or quarterly departmental reports, including gathering, reviewing, and summarizing relevant data.

B. Driving Duties

In addition to administrative support, the role includes a set of professional driving responsibilities. These include:

  1. Transportation Services:
    • Safely drive authorized personnel to various meetings, appointments, and official university events, both within and outside the city.
    • Demonstrate a high level of courtesy and professionalism while handling passengers and university stakeholders.
  2. Vehicle Maintenance:
    • Ensure the assigned vehicle is clean and in proper mechanical condition at all times.
    • Monitor vehicle maintenance schedules and arrange for routine servicing and necessary repairs.
    • Track and ensure timely renewal of vehicle insurance and compliance with regulatory standards.
  3. Travel and Fuel Documentation:
    • Maintain comprehensive travel logs including mileage, routes, times, and fuel usage.
    • Keep accurate records of refueling, mechanical inspections, and any other vehicle-related expenses.
    • Maintain discretion and uphold confidentiality in all driving engagements, especially those involving university executives and sensitive documents.

Qualifications and Experience Required

To be considered for this position, applicants must meet the following minimum qualifications and experience:

  • A certificate in a business-related course from a recognized institution.
  • A valid Kenya Certificate of Secondary Education (KCSE) certificate or its equivalent.
  • Possession of a valid driver’s license with a clean driving record.
  • A minimum of three (3) years of experience as a D3 category driver in a reputable organization or institution.
  • Basic knowledge of standard office procedures and administrative support processes.
  • A valid Certificate of Good Conduct from the relevant authorities.
  • Completion of a Defensive Driving Course will be an added advantage.
  • Possession of an institutional driver’s license will be considered an additional asset.
  • Previous work experience in logistics or supply chain operations will be advantageous.
