We are currently recruiting for the position of Construction Project Manager and Property Administrator, based in Nairobi. Overview of the Role
The Construction Project Manager and Property Administrator will be responsible for planning, coordinating, and supervising construction and renovation projects across a range of properties. Additionally, the role entails ensuring timely rent collection, managing tenant relationships, maintaining high standards of property upkeep, and ensuring all buildings and associated facilities remain compliant with legal and safety standards.
The ideal candidate will collaborate with multiple stakeholders including contractors, tenants, vendors, and internal departments to deliver results efficiently and cost-effectively.
Key Responsibilities
1. Construction Project Management
- Plan, coordinate, and oversee the successful execution of all construction and renovation projects from the initial planning stages through to final completion.
- Work collaboratively with external professionals including architects, engineers, quantity surveyors, contractors, and suppliers to ensure projects are delivered on schedule, within budget, and in accordance with approved designs and regulatory requirements.
- Monitor project milestones and intervene when necessary to resolve delays, cost overruns, or compliance issues.
- Conduct periodic site inspections to evaluate progress and quality against project specifications.
- Prepare, update, and archive all project documentation, including schedules, budgets, performance metrics, and site reports.
- Ensure all activities comply with local building codes, environmental policies, and occupational safety standards.
2. Rent Collection and Tenant Relations
- Develop and implement an efficient system for tracking, collecting, and reconciling rental payments across the property portfolio.
- Ensure that rent is collected in a timely manner and take proactive steps to manage overdue accounts, including issuing notices and initiating legal procedures when necessary.
- Maintain transparent and courteous communication with tenants, ensuring that inquiries and concerns are addressed promptly and professionally.
- Serve as the primary contact point for tenants on lease enforcement matters and advise tenants on terms, obligations, and notices.
- Assist in lease agreement execution and renewals, and coordinate eviction processes in accordance with local laws and company policies when needed.
3. Property Maintenance and Operations
- Oversee regular maintenance schedules for all managed properties, including preventive maintenance, repairs, landscaping, plumbing, electrical systems, and general facility upgrades.
- Liaise with approved vendors and service providers to carry out maintenance tasks and emergency repairs efficiently.
- Conduct routine and ad hoc inspections to proactively identify maintenance needs and ensure that properties meet health, safety, and regulatory standards.
- Maintain an accurate inventory of property assets, tools, equipment, and consumable supplies.
- Ensure that all property utilities are functioning correctly and that backup systems (e.g., generators, fire safety systems) are operational.
4. Reporting and Record-Keeping
- Compile and submit detailed and timely reports on all areas of responsibility, including construction project updates, rent collections, tenancy statuses, and maintenance activities.
- Maintain accurate databases of lease agreements, contractor contracts, financial expenditures, and project timelines.
- Provide management with regular analytics and recommendations to support operational decisions related to the property portfolio.
5. Budgeting and Cost Management
- Participate in the preparation of budgets for both construction projects and ongoing property management operations.
- Monitor actual expenditures against budgeted costs and identify opportunities for cost reduction without compromising quality.
- Work with internal finance teams to track payments to service providers and ensure adherence to financial control procedures.
- Source competitive quotes from suppliers and contractors and evaluate their financial proposals for cost-efficiency.
Educational Background and Work Experience
- A Bachelor’s degree in Construction Management, Property Management, Real Estate, Business Administration, or a closely related discipline is required.
- A minimum of five (5) years of professional experience in construction project management, property management, or a similar functional area.
- Demonstrable success in managing construction timelines, budgeting, vendor engagement, and regulatory compliance.
Required Skills and Competencies
- In-depth knowledge of construction methods, property management principles, and the statutory framework governing landlord-tenant relations.
- Strong project management skills with the ability to coordinate multiple ongoing initiatives while maintaining attention to detail.
- Excellent problem-solving skills, with the ability to think strategically and act decisively under pressure.
- Proficiency in using property management and project tracking software tools.
- Familiarity with local building codes, occupational health and safety guidelines, and industry best practices.
- High-level interpersonal and communication skills, essential for interacting with a diverse range of stakeholders including tenants, vendors, and internal staff.
- Strong organizational skills with a structured approach to record-keeping and reporting.
Performance Measurement – Key Indicators of Success
The successful candidate will be evaluated against the following Key Performance Indicators (KPIs):
- Timely Completion of Projects: All construction and renovation projects completed within the agreed timelines and budget parameters.
- Effective Rent Collection: Percentage of total rents collected on time, with minimal arrears or default rates.
- Tenant Satisfaction: Reduction in unresolved tenant complaints; positive tenant feedback from surveys or direct engagement.
- Operational Efficiency: Timeliness and effectiveness of responses to maintenance issues; consistent adherence to inspection schedules.
- Regulatory Compliance: Number of incidents related to non-compliance with building, safety, or leasing regulations.
