Overall Responsibility

The Project Administrative Assistant will play a key role in supporting the effective coordination and implementation of cancer-related healthcare projects within the Hospital. This role requires a high level of organization, excellent communication skills, and the ability to collaborate across multidisciplinary teams. The successful candidate will report directly to the Project Manager and will be instrumental in facilitating both administrative and project support functions.

Key Responsibilities

The successful candidate will be entrusted with a wide range of responsibilities designed to support project efficiency, documentation, communication, and coordination. These responsibilities include:

  • Daily Administrative Support: Provide consistent and efficient administrative support to the Project Office. This includes responding to inquiries, organizing documentation, and maintaining a structured workflow.
  • Meeting and Appointment Coordination: Manage the Project Manager’s calendar by scheduling meetings, coordinating appointments, and ensuring timely follow-up on scheduled engagements with internal and external stakeholders.
  • Document Preparation and Editing: Draft, format, and edit a wide variety of project documents, including correspondence, reports, presentations, and memos.
  • Minute Taking and Action Follow-up: Accurately take minutes during project meetings and ensure systematic follow-up on assigned action items. This helps maintain accountability and track project progress effectively.
  • Records Management: Maintain an organized filing system—both electronic and physical—ensuring that records are stored securely and in accordance with data protection policies. Handle all departmental records with strict confidentiality.
  • Stakeholder Liaison: Act as the point of contact between the Project Office and various internal departments such as Finance, Procurement, Oncology, and Clinical Support Units. Engage with external stakeholders and partners as necessary to support project delivery.
  • Event and Training Support: Assist in organizing departmental workshops, training sessions, stakeholder meetings, and other initiatives aimed at advancing project goals. Ensure all logistical aspects are well managed.
  • Quality Improvement and Patient Safety: Participate in initiatives that focus on continuous quality improvement and patient safety as part of the wider project objectives. Assist with the documentation and reporting of progress in these areas.
  • Asset and Inventory Management: Monitor and maintain accurate records of departmental supplies, equipment, and assets. Ensure all materials are used appropriately and are well maintained.
  • Project Documentation and Coordination: Organize and document all project meetings, compiling necessary reports, tracking deliverables, and ensuring alignment with project timelines and outcomes.

This multifaceted role will require an individual who is organized, detail-oriented, and capable of working under pressure while managing multiple priorities.

Candidate Requirements

The following qualifications and competencies are required to be considered for this role:

  • A Diploma in Business Administration, Project Management, or a related field from a recognized institution.
  • A minimum of three (3) years’ experience in an administrative role, ideally within a healthcare or development project setting.
  • Proven ability in project coordination and supporting cross-functional teams.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to work independently and as part of a team.
  • High proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
