Position: Systems Administrator – Healthcare Systems
Location: Madison House, Upper Hill, Nairobi
Reporting To: ICT Manager

Job Summary

The Systems Administrator – Healthcare Systems will be charged with overseeing the security, availability, and performance of the Group’s insurance healthcare systems and digital health benefit administration platforms. This role is vital to ensuring uninterrupted operations of mission-critical applications that support customer care, claims adjudication, provider management, and member engagement within the healthcare insurance space.

The successful candidate will support systems integration, escalate technical incidents to vendors, manage upgrades, and drive enhancements that improve the operational efficiency and competitiveness of the organization. The position also includes a strong project management and analytical component, aimed at enabling digital transformation initiatives aligned with the company’s broader strategic goals.

Key Duties and Responsibilities

  1. System Administration and Maintenance
    • Manage and maintain key healthcare and insurance-related systems including:
      • Claims management platforms
      • Member access portals
      • Benefit administration tools
      • Provider management systems
    • Ensure continuous system uptime, optimal performance, and high availability.
    • Monitor system alerts and respond proactively to minimize downtime.
  2. Support and Enhancement of Business Systems
    • Act as the lead support specialist for healthcare business applications.
    • Collaborate with internal stakeholders and business units to resolve software issues and execute system enhancements.
    • Analyze business needs and translate them into technical solutions within the digital healthcare ecosystem.
  3. Strategic Alignment and Innovation
    • Contribute to the alignment of healthcare IT systems with the Group’s strategic objectives.
    • Identify digital opportunities that promote operational efficiency, expand market reach, and enhance profitability.
    • Recommend and implement cutting-edge technological solutions in line with best industry practices.
  4. Systems Integration Management
    • Manage API-based and middleware integrations between core healthcare platforms and other enterprise systems, such as:
      • Financial reporting systems
      • Analytics dashboards
      • Communication tools including SMS and email engines
    • Ensure seamless data flow and interoperability among platforms.
  5. Project Management
    • Lead or participate in cross-functional project teams for the implementation of new systems and upgrades.
    • Ensure timely, cost-effective, and resource-efficient delivery of all assigned ICT projects.
    • Document project requirements, timelines, and deliverables using accepted project management methodologies.
  6. Process Efficiency and Digitization
    • Assess current healthcare processes for inefficiencies and recommend ICT-based automation or workflow optimization strategies.
    • Assist in digitizing operations to reduce manual interventions and improve service delivery across departments.
  7. Vendor and SLA Management
    • Act as the primary liaison with third-party system vendors for incident resolution, feature enhancements, and change requests.
    • Monitor vendor Service Level Agreements (SLAs) and escalate any unresolved issues to the ICT Manager or Senior Management.
    • Document vendor engagements and maintain audit trails of technical correspondences.
  8. System Upgrades and New Implementations
    • Collaborate in the planning, testing, and execution of system upgrades, migrations, and rollouts.
    • Provide technical insight during vendor selection, system configuration, and implementation processes.
    • Ensure proper user acceptance testing (UAT) and training prior to go-live.
  9. Compliance and Best Practices
    • Apply best practices in systems administration, information security, and service management.
    • Ensure adherence to Madison Group’s internal policies, procedures, and compliance standards.
    • Monitor systems for compliance with healthcare data protection and IT security regulations.
  10. Documentation and Knowledge Management
    • Maintain comprehensive documentation for all supported systems, including configuration, processes, and user guides.
    • Contribute to the organization’s IT knowledge base and participate in internal training initiatives.
  11. Additional Administrative Duties
    • Carry out any other tasks assigned by the Group ICT Manager or Management, as may relate to the administration and support of designated systems.

Key Competencies and Skills Required

  • Proven technical proficiency in the administration and troubleshooting of enterprise software platforms.
  • Practical understanding of healthcare insurance processes including:
    • Pre-authorization
    • Claims adjudication
    • Provider management
    • Capitation models
  • Demonstrated capabilities in:
    • System analysis and requirements gathering
    • Relational database design and SQL scripting
    • IT operations and application support
  • Strong knowledge of:
    • Healthcare data privacy laws and security standards
    • Service delivery principles in ITIL environments
    • Microsoft and open-source technologies
  • Outstanding analytical and problem-solving skills.
  • Exceptional communication and interpersonal abilities.
  • A team player who works well under pressure and meets tight deadlines.

Minimum Academic and Professional Qualifications

  • Bachelor’s Degree in Computer Science, Information Technology, Health Informatics, or a closely related field.
  • At least 4 years of relevant work experience, with a minimum of 2 years specifically in software development or systems support within large, highly digitized organizations.
  • Proven experience managing mission-critical healthcare or insurance systems.
  • Knowledge of the BFSI (Banking, Financial Services, and Insurance) industry and its technological frameworks.
  • Experience with health insurance platforms is highly advantageous.
  • Professional Certifications:
    • Microsoft Azure Administrator
    • ITIL Foundation
    • CompTIA Server+
    • Additional certifications in database management and healthcare IT are a plus.
  • Advanced skills in managing databases (e.g., SQL Server, MySQL).
  • Familiarity with healthcare API standards and integration techniques.
