Job Description:
The Senior Office Administrator will be responsible for providing executive support and overseeing the smooth operation of the administrative functions in a county office setting. This position involves multitasking and managing multiple administrative processes, while ensuring compliance with public service procedures and effective communication flow.
Duties and Responsibilities:
- Manage executive schedules, appointments, and meetings, and ensure all logistics are coordinated effectively.
- Prepare correspondence, reports, and official documents on behalf of senior management.
- Oversee filing systems and maintain both physical and electronic records in line with data protection policies.
- Coordinate internal and external communication and serve as the primary contact point for administrative matters.
- Supervise and guide junior administrative staff to ensure office efficiency.
- Manage the reception area and ensure visitors are handled with professionalism.
- Maintain inventory of office supplies and ensure timely procurement and distribution of stationery and other essential items.
- Monitor office operations and ensure compliance with workplace health and safety standards.
- Draft minutes, memos, briefing notes, and internal communication for dissemination to relevant departments and officers.
- Support event planning, including meetings, training sessions, and workshops, by preparing venues, materials, and catering where necessary.
- Assist in budget preparation and tracking of administrative expenditures.
- Implement effective records management systems and uphold confidentiality of sensitive information.
- Handle staff travel arrangements, including booking transport and accommodation, as needed.
- Liaise with relevant departments to support human resources, procurement, and logistical functions.
