We are hiring for the following position:
Position Title: Branch Warehouse / Store Supervisor

This role presents an excellent opportunity to lead critical operational functions at our Meru branch, ensuring that our warehouse operations adhere to global best practices while complying with local regulatory frameworks. The successful candidate will work closely with the Branch Pharmacist and the central operations team and may step in to support overall branch operations in the absence of the Branch Manager.
Overview of the Role
The Branch Warehouse / Store Supervisor will oversee all aspects of warehouse operations, including receiving, storage, order processing, inventory control, compliance, and dispatch. This role is hands-on, requiring close coordination with internal teams to maintain service excellence and regulatory compliance.
The incumbent will play a critical role in supervising a team of warehouse staff and ensuring that Harley’s Limited maintains the highest standards in supply chain efficiency, safety, hygiene, and pharmaceutical product integrity. This position will also serve as a backup for the Branch Manager and will therefore require strong leadership, initiative, and decision-making capabilities.
Key Responsibilities
1. Supervision of Daily Warehouse Operations
- Direct and supervise all day-to-day warehouse functions including receiving, picking, packing, storage, dispatch, and cold chain handling of sensitive products.
- Ensure timely and accurate execution of inbound and outbound warehouse processes.
- Maintain effective stock rotation procedures and product integrity through strict adherence to SOPs.
- Monitor loading and unloading of goods to prevent damage and discrepancies.
2. Inventory Accuracy and Control
- Carry out regular physical stock counts and reconciliations to maintain stock accuracy and prevent variances.
- Record all stock movement through proper documentation and ERP/WMS tools to ensure traceability.
- Monitor and minimize product expiry, breakages, and obsolescence through proactive inventory planning.
- Lead cycle counts, variance investigations, and implement corrective action plans.
3. Regulatory and Quality Compliance
- Enforce adherence to the requirements of the Pharmacy and Poisons Board (PPB), Ministry of Health (MOH), WHO GDP standards, and internal SOPs.
- Maintain and update required documentation including temperature logs, sanitation schedules, product recall logs, and inspection reports.
- Coordinate and support internal and external audits and regulatory inspections.
- Facilitate continuous quality improvement and maintain up-to-date compliance documentation.
4. Health, Safety, and Hygiene Enforcement
- Ensure that the warehouse maintains optimal safety and hygiene standards in line with GMP and GDP requirements.
- Lead initiatives related to pest control, waste management, fire safety, and spill response preparedness.
- Conduct regular toolbox talks and safety briefings to create safety awareness among warehouse staff.
- Implement and monitor corrective and preventive actions (CAPAs) arising from audits or incidents.
5. Team Leadership and Development
- Supervise, train, and mentor warehouse team members to meet operational and compliance standards.
- Prepare and manage shift schedules, task assignments, and work rotations.
- Foster a culture of accountability, teamwork, and continuous learning.
- Evaluate employee performance and provide feedback for improvement and development.
6. Branch Operational Support
- Provide leadership and decision-making support in the absence of the Branch Manager.
- Collaborate with the Branch Pharmacist to coordinate compliance, customer service, and cross-functional activities.
- Assist in the implementation of new systems, workflows, and branch-level strategies as needed.
- Participate in weekly planning meetings and contribute to process improvement initiatives.
7. Reporting and Communication
- Prepare and submit timely operational reports, including stock movement, expiry tracking, dispatch records, and non-conformance reports.
- Maintain smooth communication with the Branch Operations Manager, Head Office, and relevant stakeholders to escalate operational concerns and resolve challenges.
- Document and hand over shift activities effectively to ensure continuity and transparency.
