About the Role
The Supply Chain Manager will provide strategic and operational leadership across all facets of supply chain management, including procurement, vendor management, logistics, inventory, and distribution. Detailed Job Description
1. Procurement and Vendor Management
- Design and implement comprehensive procurement strategies that guarantee timely and cost-effective sourcing of essential hospital supplies, equipment, and pharmaceuticals.
- Identify credible suppliers through market research and evaluation frameworks.
- Lead contract negotiations to secure favorable pricing and delivery terms while ensuring quality and ethical compliance.
- Establish and nurture long-term relationships with suppliers to improve supply reliability and responsiveness.
- Monitor supplier performance against agreed service-level agreements (SLAs).
- Ensure that all procurement activities adhere strictly to institutional policies, donor regulations, and ethical sourcing standards.
2. Inventory and Warehouse Management
- Oversee the hospital’s stockroom and warehouse operations to ensure optimal inventory levels and proper storage conditions.
- Implement and continuously improve inventory management systems such as FIFO (First In, First Out), JIT (Just-In-Time), or ABC analysis to reduce stockouts and wastage.
- Ensure routine cycle counts and periodic physical stock takes are conducted to maintain data accuracy.
- Establish policies for handling expired, damaged, or obsolete inventory.
- Utilize ERP systems to manage and track inventory movements and levels across departments.
3. Logistics and Distribution
- Coordinate all inbound and outbound logistics activities including customs clearance, shipment tracking, and receipt of goods.
- Ensure timely distribution of supplies and medical equipment to various hospital units without disrupting clinical services.
- Plan and optimize transportation logistics including routing, delivery schedules, and vehicle maintenance to ensure efficiency.
- Manage the hospital’s fleet for supply chain activities and ensure compliance with transport policies and safety standards.
- Support the hospital’s emergency preparedness plans by maintaining buffer stocks and facilitating rapid supply chain response during health crises.
4. Budgeting and Cost Control
- Develop and manage the supply chain budget in alignment with the hospital’s strategic objectives.
- Monitor supply chain expenditures, identify cost-saving opportunities, and implement cost-control measures.
- Review and approve purchase orders within authorized limits and ensure value for money.
- Analyze procurement and logistics data to track cost trends, forecast future needs, and inform strategic planning.
- Support internal and external audits by preparing required documentation and addressing audit findings.
5. Compliance and Reporting
- Ensure strict adherence to national and international standards such as those set by WHO, the Ministry of Health (MOH), and various donor agencies.
- Maintain accurate and up-to-date records on procurement, inventory, supplier contracts, and expenditures.
- Generate periodic reports for internal use, donor compliance, and board-level oversight.
- Support regulatory audits and implement corrective actions where necessary to address non-compliance issues.
6. Team Leadership and Staff Development
- Lead, mentor, and manage the Supply Chain Department staff including procurement officers, storekeepers, and logistics personnel.
- Set performance goals and carry out regular evaluations to promote accountability and professional growth.
- Organize regular capacity-building workshops and on-the-job training to keep the team updated on new policies, software, and supply chain practices.

7. Strategic Collaboration and Demand Forecasting

- Analyze usage trends, disease burden data, and service delivery metrics to predict future supply needs.
- Develop frameworks for emergency procurement and demand surges during outbreaks or natural disasters.
- Participate in strategic planning meetings and contribute to the broader operational effectiveness of the hospital.

Required Qualifications and Competencies
- Bachelor’s degree in Supply Chain Management, Business Administration, Public Health, or a related field.
- Master’s degree in a related discipline is required.
- A professional certification such as CIPS (Chartered Institute of Procurement & Supply) or CSCP (Certified Supply Chain Professional) is a significant advantage.
- A minimum of five (5) years of progressive experience in a similar role, preferably in a healthcare or faith-based institution.
- In-depth knowledge of healthcare supply chain regulations, procurement guidelines, and donor compliance.
- Strong leadership, analytical, and negotiation skills.
- Proficiency in enterprise resource planning (ERP) systems and Microsoft Excel.
