Role Overview

The Systems Analyst & LIMS Administrator will be primarily responsible for defining and executing the technical specifications and system requirements for specialized software used at The Nairobi Hospital, such as Laboratory Information Management Systems (LIMS), Radiology Information Systems (RIS), and Picture Archiving and Communication Systems (PACS). Additionally, the role involves integrating these systems into the larger Hospital Management Information System (HMIS), configuring applications, and managing technical support and updates related to LabWare LIMS.

This position will suit a competent IT professional with hands-on experience in systems analysis, configuration, infrastructure support, and an in-depth understanding of laboratory operations.


Key Responsibilities

A. LIMS (LabWare) Management

1. Requirement Gathering

  • Collaborate closely with laboratory staff and other stakeholders to gather and document user needs.
  • Host regular consultations to prioritize user requirements and ensure that LIMS functionalities align with operational goals.

2. System Configuration

  • Customize and configure the LabWare LIMS system to meet institutional requirements.
  • Maintain a detailed log of all configurations and changes made for auditing and maintenance purposes.

3. Testing and Quality Assurance

  • Design comprehensive test plans and conduct rigorous testing to ensure the system performs to specification.
  • Detect, document, and resolve any defects or issues in a timely manner.

4. User Training and System Rollout

  • Develop structured training materials and user manuals for internal stakeholders.
  • Lead training sessions and support the phased rollout of the LIMS system to ensure high adoption rates.

5. Equipment Integration & Report Configuration

  • Enable seamless data transfer between lab equipment and the LIMS.
  • Design and maintain Crystal Reports to facilitate lab data analysis and reporting.

6. Continuous System Administration

  • Perform regular updates and system maintenance to ensure optimal performance.
  • Implement backups and monitor system performance, making necessary performance tuning adjustments.

B. General Systems Administration

1. Infrastructure Management

  • Oversee and maintain IT infrastructure, including servers, storage devices, and network systems.
  • Uphold system security protocols and protect data integrity.

2. User Support

  • Address end-user concerns by providing prompt technical support.
  • Manage user account permissions and maintain security access control.

3. Performance Monitoring

  • Utilize monitoring tools to assess system performance and address bottlenecks.
  • Ensure systems are running efficiently and meet performance benchmarks.

4. Backup and Recovery

  • Develop and implement robust backup strategies to ensure data recovery in the event of system failure.
  • Periodically test and validate recovery protocols.

5. Documentation

  • Keep up-to-date documentation of systems architecture, configurations, workflows, and processes.
  • Ensure that such documentation is accessible to relevant personnel.

Key Working Relationships

Internal Stakeholders

  • Collaborate with laboratory professionals, technicians, and scientists to tailor LIMS functionalities to laboratory needs.
  • Work closely with the IT department to ensure alignment with broader IT strategies and infrastructure.
  • Coordinate with the Quality Assurance department to uphold compliance and regulatory standards.

External Stakeholders

  • Liaise with LabWare’s support team for troubleshooting and technical updates.
  • Engage third-party vendors for integration of lab equipment.
  • Work with consultants and contractors on specialized technology implementations or upgrades.

Required Knowledge and Experience

Technical Knowledge

  • Comprehensive understanding of LabWare LIMS configuration, customization, and system management.
  • Deep knowledge of laboratory operations and data workflows.
  • Familiarity with systems infrastructure: networks, servers, and storage.
  • Experience with Crystal Reports or other data visualization and reporting tools.

Professional Experience

  • A minimum of 3–5 years in systems administration.
  • At least 2 years of direct experience working with LabWare LIMS.
  • Practical experience in integrating lab equipment with LIMS and using data reporting tools.

Educational Qualifications

  • Bachelor’s degree in Computer Science, Information Technology, or a related discipline.
  • Certifications in LabWare LIMS, systems administration (such as CompTIA Server+ or Microsoft Certified Systems Administrator), will be an added advantage.

  • Deep proficiency in configuring LabWare LIMS modules, workflows, and system integrations.

  • Capable of developing and managing Crystal Reports for internal data presentation needs.

  • Well-versed in cybersecurity best practices, risk mitigation, and incident response.

  • Experience in implementing comprehensive data backup and disaster recovery plans.

9. Performance Monitoring

  • Proficiency in using system monitoring tools for performance and reliability tracking.
