About the Role

As a Business Systems Analyst, you will work as a key bridge between the operational, clinical, and technical teams at Penda Health. You will support, maintain, and improve critical systems including our Electronic Medical Records (EMR) and Enterprise Resource Planning (ERP) platforms. Your goal will be to ensure that the systems supporting our medical centres and back-office operations are efficient, user-friendly, and aligned with the needs of the business.

This is a highly collaborative role where you will be expected to translate operational challenges and user needs into technical specifications, support software solutions, and ensure systems are optimised for scale, performance, and patient impact.

Key Responsibilities

1. Business Process Analysis and Systems Optimisation

  • Partner with users from various departments including clinical teams, operations, and finance to analyse workflows and gather feedback.
  • Evaluate current system functionalities and identify pain points, inefficiencies, and areas for improvement.
  • Recommend and design process improvements and system configurations to enhance productivity and data integrity.
  • Align digital workflows with business objectives to optimise care delivery and operational efficiency.

2. Application Support and Troubleshooting

  • Serve as the first line of technical support for EMR and ERP platforms used across Penda’s facilities.
  • Log, investigate, and resolve issues while ensuring compliance with Service Level Agreements (SLAs).
  • Escalate complex problems to vendors or senior technical teams and follow up to resolution.
  • Track and document all incidents and resolutions to ensure a responsive support environment.

3. Documentation and Training Support

  • Develop and maintain clear, user-friendly documentation including process flows, standard operating procedures, and system user guides.
  • Work closely with operations and HR teams to train end-users on new features and functionalities.
  • Foster knowledge sharing and promote adoption of best practices across the organisation.

4. System Configuration and Enhancement

  • Collaborate with internal IT teams and external vendors to develop, test, and deploy new system features and updates.
  • Design and support automation of workflows to reduce manual processes and improve accuracy.
  • Validate system enhancements through rigorous testing protocols and feedback loops.
  • Ensure timely rollout of features while minimising disruptions to clinical and business functions.

5. Data Management and Integrity

  • Monitor and ensure the quality and integrity of data captured through EMR and ERP systems.
  • Create reports and dashboards to support performance tracking and decision-making.
  • Work with the data team to align data models and reporting structures with business requirements.
  • Promote data governance and compliance with relevant regulatory standards.

6. System Readiness and Business Continuity

  • Participate in disaster recovery and business continuity planning by maintaining system readiness and redundancy measures.
  • Support risk assessments and implement controls to ensure system resilience.
  • Contribute to ongoing improvement initiatives across departments by leveraging system insights and analytics.
  • Stay current with emerging trends and technologies in healthcare information systems.

Knowledge, Experience & Attributes

To excel in this role, the ideal candidate will be a systems thinker who is driven by continuous improvement, collaboration, and impact. You will bring a blend of technical aptitude, problem-solving ability, and a strong understanding of business processes.

Required Background and Skills:

  • Bachelor’s degree in Information Technology, Computer Science, or a related field.
  • 1–3 years of experience in software/application support, business analysis, or related roles.
  • Working knowledge of EMR and ERP platforms and their role in healthcare and business operations.
  • Familiarity with process mapping, database concepts (e.g., SQL), and IT service management methodologies.
  • Excellent communication and documentation skills—able to translate technical issues for non-technical users.
  • Strong analytical mindset with a proactive approach to troubleshooting and solution delivery.
  • High levels of confidentiality, integrity, and respect for data governance.
  • Ability to work independently as well as collaboratively in a fast-paced environment.
  • Healthcare sector experience is an added advantage.
