The majority of rural East Africans continue to live in homes with dirt floors. These floors are not only uncomfortable but are major contributors to ill health — with high rates of diarrhea, parasitic infections, and respiratory illnesses. While concrete offers a solution, its high cost and environmental footprint render it inaccessible and unsustainable for the populations that need it most. EarthEnable has been working to bridge this gap by promoting natural, scalable, and healthy flooring options that protect the family and the planet alike.
In line with its expanding operations in Kenya, EarthEnable is seeking to hire a committed, detail-oriented, and experienced Finance Officer to anchor its financial management in the country. This is a full-time position based in Bungoma, Kenya, designed for professionals who are passionate about mission-driven work and capable of handling complex financial responsibilities in a dynamic organizational setting.
About the Role
The Finance Officer at EarthEnable Kenya will be entrusted with full-spectrum financial responsibilities to ensure seamless, compliant, and accountable financial operations across the Kenyan office. Reporting directly to the Finance Manager and working in close collaboration with the Kenya Country Director, the Finance Officer will maintain clean and audit-ready financial records, ensure statutory compliance, and streamline reporting processes to support strategic decision-making.
This role is ideal for someone with at least two years of hands-on finance or accounting experience, particularly in the Kenyan regulatory environment. The position requires a high degree of integrity, attention to detail, adaptability, and a commitment to continuous learning and process improvement.
Detailed Job Description
The Finance Officer’s responsibilities are categorized into three major functional areas: Core Finance Functions, Cash/Inventory/Asset Oversight, and Administrative & Supportive Functions. Each of these areas is essential for sustaining efficient financial operations and ensuring compliance with internal policies and external regulations.
1. Core Finance Functions
Payments Administration
- Ensure that all Kenya-based financial transactions are accurately recorded and processed.
- Verify that every transaction is backed by proper approvals and supporting documentation.
- Coordinate with department heads to track and document procurement and operational spending.
Payroll Management
- Prepare monthly payroll for all Kenya-based staff, incorporating any updates such as new hires, terminations, or changes in remuneration.
- Ensure correct computation of statutory deductions including PAYE, NHIF, and NSSF.
- File all payroll-related submissions on time with relevant government bodies (e.g., Kenya Revenue Authority).
Bookkeeping and Monthly Closings
- Maintain well-organized and updated financial ledgers and journals.
- Carry out monthly bank and ledger reconciliations, ensuring accurate financial closure.
- Generate monthly, quarterly, and annual financial reports in accordance with organizational and regulatory timelines.
Statutory & Regulatory Compliance
- Ensure the organization meets all statutory obligations, including but not limited to income tax, VAT, and labor-related levies.
- Stay up-to-date with the latest developments in Kenya’s taxation laws and labor legislation.
- Prepare for and support all statutory and external audits.
Financial Reporting
- Provide timely internal reports that assist the leadership in budget planning and expenditure tracking.
- Highlight any budget overruns, discrepancies, or financial anomalies for prompt rectification.
- Collaborate with the Finance Manager to improve internal financial reporting tools and practices.
2. Cash, Inventory & Asset Oversight
Petty Cash Management
- Manage the Kenya office’s petty cash float, ensuring adherence to the set float limit.
- Process only approved petty cash expenditures and reconcile balances with physical cash regularly.
- Maintain a transparent petty cash ledger and ensure all disbursements are accompanied by receipts.
Inventory Oversight
- Oversee the financial tracking of inventory movement between warehouse and field sites.
- Ensure accurate documentation of all stock entries, withdrawals, and losses.
- Collaborate with the Operations team on periodic stock counts and reconcile inventory balances.
Asset Tracking
- Maintain updated records of all EarthEnable Kenya assets including purchase details and depreciation schedules.
- Assist in the tagging and monitoring of assets to minimize loss or misuse.
- Conduct periodic verifications to ensure the physical presence and working condition of assets.
3. Administrative & Supportive Functions
Document Management
- Ensure all financial records, both hard copy and digital, are well-organized and securely stored.
- Implement a consistent naming and archiving system for ease of access and audit readiness.
Interdepartmental Support
- Work closely with Operations, HR, and other departmental heads to integrate financial processes into wider organizational functions.
- Advise non-finance staff on compliance requirements related to budgeting, procurement, and expenditure.
- Actively participate in cross-functional meetings to streamline financial decision-making.
Learning & Compliance Updates
- Maintain an active understanding of the Kenyan financial ecosystem including updates from KRA and other regulatory bodies.
- Recommend and implement updates to financial procedures in line with best practices and compliance requirements.
- Attend relevant trainings, workshops, and webinars to enhance professional competence.
Other Duties
- Perform any other finance-related duties assigned by the Kenya Country Director or Finance Manager.
- Act as a liaison point for finance inquiries from the Nairobi and Rwanda teams when required.
- Serve as a backup for other finance personnel during periods of leave or absence.
Required Qualifications and Skills
- A Bachelor’s degree in Accounting, Finance, or Business Administration.
- At least 2 years of experience in financial management or accounting in Kenya.
- A solid understanding of Kenya’s taxation structure and labor laws.
- Strong command of Microsoft Excel and experience with accounting software.
- Accuracy, analytical ability, and a keen eye for detail.
- High levels of integrity and discretion in handling sensitive financial data.
- Strong interpersonal and organizational skills, with a solution-focused attitude.
Preferred Qualifications (Nice-to-Haves)
- Prior experience in an NGO, non-profit, or social enterprise setting.
- Working knowledge of QuickBooks or comparable financial management systems.
